Major Responsibilities- Coordination of supervisors’ schedules, travel arrangements (hotel reservations, airline reservations, ground transportation, seminar registration, etc.), and preparation of expense reports for reimbursement.
- Set up meetings and maintain meeting schedules for multiple executives and/or senior vice presidents, ensuring priorities are met and time is used effectively.
- Arrange catering, AV requests, handouts, agendas, minutes, etc., for meetings.
- Performance of diversified administrative and secretarial work in support of multiple executives and/or senior vice presidents: compile, analyze, and summarize data for reports; route inquiries/calls; respond to routine correspondence; initiate follow up; provide background information as required; collect data to prepare reports; prepare presentations and notices.
- Provide administrative support for the Operations Improvement Department and the Project Support Office, including typing letters, memos, and reports; compose correspondence not requiring supervisors’ attention; gather information for reports; prepare letters and other materials; and disseminate correspondence to appropriate parties.
- Screen mail and determine routing; respond to routine matters; greet and direct visitors; respond to associate/patient complaints and direct to appropriate parties.
- Maintain confidential department files and filing systems.
- High School education or equivalent.
- 7 years of secretarial experience with at least 5 years in an executive or senior level secretarial position.
- Typing 60+ wpm preferred
- Shorthand/dicta phone
- Basic computer knowledge; proficient with word processing, spreadsheet, and presentation software
- Ability to navigate and gather information via the internet
- Ability to use supportive technology (e.g., Palm Pilots or other devices)
- Ability to prioritize work
- Excellent communication and organizational skills
Ability to work in changing environment; prioritize independently; respond to multiple simultaneous requests; work under stressful conditions with professionalism, tact, and discretion.
