Key Responsibilities
  • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and organize correspondence, reports, presentations, and confidential documents for the CEO.
  • Serve as a liaison between the CEO and internal/external stakeholders, ensuring timely communication and follow-up.
  • Assist with client onboarding, meeting preparation, and follow-up tasks to support the CEO’s client relationships.
  • Coordinate special projects, events, and team activities as directed by the CEO.
  • Maintain and update records, files, and databases with accuracy and confidentiality.
  • Handle sensitive information with discretion and professionalism.
  • Support the CEO in managing priorities, deadlines, and workflow to ensure efficient operations.
Qualifications
  • Bachelor’s degree preferred; relevant experience in financial services or executive support required.
  • 3+ years of experience as an executive assistant, preferably in a financial or professional services environment.
  • Exceptional organizational, time management, and multitasking skills.
  • Bookkeeping and payroll experience.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM or financial planning software a plus.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Positive attitude, proactive approach, and commitment to supporting a collaborative team culture.
