Special Projects Project Manager
Reports To:
Director of Special Projects
Functional Role:
The Special Projects Project Manager shall perform all management duties to successfully complete HVAC & Plumbing projects. This includes coordinating Shapiro & Duncan field forces, coordinating subcontractors and handling major equipment purchases. The nature of these relatively small projects requires precise timing and full understanding by all parties involved in order to be successful. The Special Projects project manager must be a good communicator and have a sound understanding of the workflow and a technical comprehension of the work.
Experience
- Minimum of 4 years in the HVAC trade with at least 5 years in the managerial role.
- College AA Degree desirable.
- High School Diploma minimum.
- Advance training in technical aspects of HVAC & Plumbing.
- Management training, time management training and sales training.
- Project Oversite – Visit job sites regularly and perform initial survey; lead project kick-off meetings and progress meetings (provide agendas to the same if we are the prime contractor).
- Comfortable functioning as a prime contracting PM for the few projects that are heavy mechanical, requiring coordination of ceilings, patch, paint, steel, electric, millwork, etc.
- Meet with subs at job site to explain what needs to be quoted or performed.
- Schedule the work with customers and coordinate work force.
- Review work with the project superintendent, assistant superintendent & Sr. foreman on a daily basis.
- Review daily reports for accuracy and completeness.
- Work closely with design engineer on in-house design build projects to coordinate and lead project administration.
- Inspect finished work for quality and final presentation; prepare a punch list if necessary and applicable.
- Follow up with customer during and after the job. Make sure customer is satisfied with the work that was performed.
- Provide feedback on the performance of field forces and support staff.
- Project Accounting and Administration – Effectively read and interpret drawings and specifications.
- Perform project start up tasks; including reviewing and understanding contract, modifying and preparing for ratification if necessary, writing subcontract agreements, purchasing major equipment, submitting product data, writing job outline and establishing a job schedule.
- Solicit subcontractors when they are needed.
- Track and schedule equipment and accessories from vendor to the job site.
- Buy out of equipment and subcontractors.
- Compile needed information for field and subcontractor’s work force.
- Set up job budget and schedule of values for each project and process and generate monthly billing per clients time requirements.
- Develop and process RFI’s.
- Develop and price PCO’s, including executing take offs, compiling subcontractor/vendor pricing, drafting PCO scope, presenting PCO’s to client and processing change orders.
- Manage the change order process (pricing, negotiating with the client, billing and updating the accounting software).
- Perform collections on outstanding payments related to their projects.
- Complete gain share documentation including submitting initial budgets and final scorecard; grading the foreman appropriately.
- Develop construction schedules & look ahead schedules as required.
- Execute project forecasting and work in progress quarterly and as required.
- Additional duties & tasks as assigned.
- This role demands a hands-on, team-oriented approach. The Project Manager must be willing and able to assume responsibilities beyond their defined scope, including assisting with tasks assigned to other project personnel, when required to maintain project momentum, meet deadlines, and deliver a high-quality customer experience.
- Maintain a positive disposition and motivate staff and field personnel to perform at their best.
- Remain current with industry trends and network with peers through local trade organizations.
