Position: Operations Specialist III (2669-1)

Operations Specialist (Contract Role)

We are seeking an organized, detail-driven Operations Specialist to support vendor enablement, contracting workflows, study registration, and cross-functional operational activities. The role requires strong coordination skills, the ability to proactively manage timelines, and the capability to translate technical or scientific information into actionable operational steps. The ideal candidate thrives in a fast-paced environment, partners effectively with multiple stakeholders, and consistently ensures high-quality execution.

Key Responsibilities
  • Vendor Enablement & Contracting
    • Support supplier onboarding, including vendor setup, documentation collection, and coordination with Procurement and Sourcing.
    • Coordinate preparation of Master Service Agreements (MSAs) and Statements of Work (SOWs) in collaboration with Legal and Contracting teams.
    • Submit purchase requisitions and contracts through Ariba
      , ensuring accuracy and timely processing.
    • Track Ariba requisition status from submission through purchase order and contract execution, maintaining transparency and accountability.
  • Study Registration & System Workflow Support
    • Register and submit studies within governance systems (e.g., Global Study List,
      iEnvision
      , or equivalent), leveraging existing documentation (SOWs, study materials) to complete fields independently and minimize burden on study leads.
    • Manage submission of study concepts and protocols through governance review pathways, ensuring timely submission and coordinating responses to feedback.
    • Monitor workflow progress, follow up on open actions, and reduce logistical responsibilities for study owners.
  • General Operational Support
    • Serve as the primary operational contact for vendors and collaborate closely with Procurement, Legal, Contracting, and Finance.
    • Identify potential blockers and elevate proactively to maintain adherence to timelines.
    • Participate in project initiation and cross-functional meetings, capturing meeting minutes and tracking action items.
    • Maintain centralized document repositories and operational trackers.
    • Interpret source materials and translate them into operational requirements with minimal oversight.
    • Contribute recommendations for process improvements and operational efficiencies.
    • Provide ad hoc administrative and logistical support (e.g., submitting expense reports via Concur
      , supporting healthcare provider engagements, and assisting with Veeva submissions).
Qualifications
  • Bachelor’s degree required.
  • 3–5 years of operational or project coordination experience in research, RWE/HEOR, clinical operations, medical affairs, or healthcare settings.
  • Ariba experience required.
  • Experience with iEnvision or similar study management systems strongly preferred.
  • Experience with Veeva and Concur preferred.
  • Demonstrated ability to independently drive workflows with minimal direction.
Required Skills
  • Exceptional attention to detail, execution discipline, and follow-through.
  • Strong analytical and problem-solving abilities with the ability to anticipate needs.
  • Ability to manage multiple concurrent timelines in a fast-paced environment.
  • Excellent communication and cross-functional collaboration skills.
  • High proficiency with the Microsoft Office Suite.
