Position Summary: The HR Onboarding Specialist is responsible for managing the full lifecycle of the onboarding process for new hires, ensuring a smooth transition into the company and setting the stage for employee success. This role works closely with HR, hiring managers, and other departments to provide a positive and engaging experience for new employees from their first day through their early tenure with the organization.

    Experience:

    • Ensure new hires feel welcomed and integrated into the team from day one. Create a positive onboarding experience by addressing employee concerns, providing ongoing communication, and offering support during the transition into their new role.
    • Collect feedback from new employees about their onboarding experience to continuously improve the process.
  • Documentation & Compliance:
    • Ensure new hire documents (contracts, tax forms, identification verification, etc.) are completed in a timely manner and adheres to company policies and legal requirements.
    • Maintain accurate records and databases of employee onboarding files and activities.
  • Collaboration with HR and Hiring Managers:
    • Collaborate with hiring managers to ensure the onboarding experience aligns with the specific needs of the role and department.
    • Coordinate with HR, IT, and Facilities teams to ensure all equipment, software access, and workspace arrangements are prepared ahead of the new employee’s start date.
  • Training and Development:
    • Assist in the preparation and delivery of initial training and development programs to help new employees are acclimated to their job responsibilities.
    • Monitor and track employee progress during the early stages of employment.
  • Onboarding System Management:
    • Administer and maintain onboarding software/tools, ensuring that all relevant information is uploaded, tracked, and reported on.
    • Continuously look for opportunities to streamline and improve the onboarding process using technology and best practices.
  • Follow-Up and Retention Support:
    • Conduct follow-up surveys or check-ins with new employees to assess their onboarding experience and identify areas for improvement.
    • Support the retention of new employees by ensuring they feel engaged and supported in their new role.
    • Prepare onboarding documents in HRIS and send outs link to new hires for completion.
    • Closely follow-ups on all candidates in onboarding to ensure 100% completion of pre-employment requirements and HRIS data.
    • Ensures compliance with all new hire regulations, including CHRC, Prometric, Streamline, licensure and certifications).
    • Conducts background checks on all new hires
    • Conducts referencing on all new hires
    • Provides back up to Human Resources new hire orientations.
    • Provides back up for all new hire offers.
    • Assist with conducting quarterly and annual HR audits. – Corporate compliance audits
    • Prepares and maintains 60-day touchpoint survey for all new hires; tracks reports on results.
    • Prepares and maintains orientation survey for all new hires; tracks and communicates results.
