Overview
Board Services Administrator role at University of Rochester. The Board Services Administrator plays a critical role in supporting the University’s Board of Trustees and the Secretary to the Board. This highly visible position ensures the smooth, compliant, and effective operation of board and committee activities and serves as a trusted partner to Trustees, senior leaders, and stakeholders across the University and Medical Center.

What You’ll Do
Board & Committee Operations- Plan and support board and committee meetings, including scheduling, room setup, catering, and audiovisual needs
- Prepare and distribute agendas, board packets, and related materials
- Record, draft, and distribute accurate and timely meeting minutes for official University records
- Assist with maintaining corporate governance documents such as bylaws, committee charters, policies, and procedures
- Support compliance with legal and regulatory requirements, including preparation and filing of required documentation
- Maintain organized, secure, and accessible records of board minutes, resolutions, correspondence, and committee materials
- Manage the distribution and archival of approved materials, resolutions, and action items
- Assist with preparing and distributing board communications and reports
- Serve as a primary point of contact for Trustees, facilitating communication and follow-up on board actions
- Coordinate communication between the board, executive leadership, and internal and external stakeholders
- Handle board-related correspondence, phone calls, and emails with professionalism and discretion
- Manage calendars, schedules, travel arrangements, and accommodations for board members
- Support Board Office operations, events, staff coordination, and budget oversight
- Prepare and process expense reports and reimbursements
- Assist with special projects, research, and event planning (including annual meetings, retreats, and special gatherings)
- Provide backup administrative support as needed to ensure continuity of operations
Required Qualifications
- Bachelor’s degree in a related administrative field
- Minimum of 3 years of administrative experience, including at least 2 years supporting senior executives or board members
- Experience in an executive-level or higher education administrative setting or paralegal certification/experience
- Exceptional organizational, communication, and time management skills
- Demonstrated ability to handle confidential information with discretion and integrity
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom, and Adobe Acrobat
- Flexibility to work outside regular business hours as needed for board meetings and events
- Experience in corporate governance or legal compliance
- 5+ years supporting boards, executives, or senior leadership
- Familiarity with board or project management tools such as Board Effect or
Base pay range: $63,815.00/yr - $95,723.00/yr
