Accounts Receivable Specialist

Description

Tess Gilmore with Robert Half is looking on behalf of a client here in Rochester, NY for an Accounts Receivable Specialist to join a fast-paced and dynamic team! This role is responsible for managing the full accounts receivable cycle, ensuring timely and accurate billing, posting payments, resolving discrepancies, and supporting overall cash flow operations. The ideal candidate is organized, analytical, and able to communicate effectively with both internal teams and external customers.

Key Responsibilities

+ Generate and issue customer invoices accurately and on schedule.

+ Apply and post customer payments (checks, ACH, wire, credit card) to the appropriate accounts.

+ Monitor aging reports, identify overdue accounts, and conduct timely collection follow-up.

+ Research and resolve billing discrepancies, short payments, and customer account questions.

+ Maintain detailed and accurate customer account records and documentation.

+ Prepare AR reports for management, including aging analysis and cash receipts summaries.

+ Collaborate with Sales, Customer Service, and Finance teams to address customer billing issues.

+ Process credit memos, adjustments, and account reconciliations as needed.

+ Assist with month-end close activities, including AR reconciliations and reporting.

+ Support continuous process improvements to enhance accuracy and efficiency.

Requirements

Qualifications

+ 2-3+ years of experience in accounts receivable, billing, or a similar accounting role.

+ Proficiency in accounting software (Quick Books, Net Suite, SAP, or similar).

+ Strong Excel skills (VLOOKUP, pivot tables, data manipulation).

+ Excellent attention to detail, accuracy, and time management skills.

+ Strong communication skills for interacting with customers and internal teams.

+ Ability to analyze data, identify discrepancies, and resolve issues quickly.

+

Experience with high-volume invoicing or payment posting is preferred.
