Real Estate One / Max Broock’s Rochester branch is seeking a highly organized, service-driven, Agent Services Coordinator who thrives in a fast-paced professional environment. This is a key role within our office, supporting top-producing agents, ensuring transaction compliance, and helping maintain a polished and welcoming branch experience.

Key Responsibilities Front Desk & Office Administration- Answer and route incoming calls to appropriate agents or staff
- Greet visitors and maintain a professional front desk presence
- Book conference rooms for closings and appointments
- Respond to basic inquiries regarding property status
- Manage email communication and general office correspondence
- Review real estate transactions for completeness and accuracy
- Ensure required documents, signatures, and dates are properly submitted
- Perform compliance review of contracts and supporting documentation
- Assist agents with transaction entry and MLS input
- Enter transaction data into internal systems
- Review sales prices and commission data for accuracy
- Deposit checks and record financial information across required systems
- Provide ongoing support to agents with transaction systems and technology
- Assist with MLS and transaction management platforms
- Maintain strong communication and rapport with agents
- Coordinate as needed with title processors and related vendors
- Help create a positive, efficient office environment
- Maintain a clean, organized, and professional front office area
- Light cleaning of common areas
- Monitor and order office supplies
- Assist with office décor, appearance, and marketing collateral availability
- 2+ years of office administration experience
- Experience with real estate transactions, contracts, and documentation
- MLS familiarity (Realcomp experience preferred)
- Strong computer proficiency:
- Transaction management systems
- CRM systems
- Microsoft Excel & Outlook
- Printer/scanner systems
- Strong customer service and communication skills
- High attention to detail and organizational ability
- Canva experience
- Experience with Realcomp MLS
- Currently or previously licensed real estate agent
- Experience coordinating with title companies/processors
