The CAFM Specialist is responsible for managing and maintaining the Computer-Aided Facility Management system to support data center operations. This role ensures accurate asset tracking, space management, preventive maintenance scheduling, and reporting through the CAFM platform. The specialist acts as the primary point of contact for CAFM-related activities, ensuring data integrity and system optimization for operational efficiency.
Key Responsibilities- System Administration & Management
- Configure, maintain, and update the CAFM system to reflect accurate facility data.
- Manage asset records, space utilization, and preventive maintenance schedules.
- Coordinate with Operation team to update the asset Registry, update the asset checklists and maintenance of procedure MOP.
- Ensure that all assets have proper tagging, maintain standardized syntax of the tagging code,
- Ensure integration of CAFM with other systems (BMS, EPMS, CMMS) where applicable.
- Data Accuracy & Integrity
- Validate and update equipment details, floor plans, and maintenance records.
- Conduct regular audits to ensure data consistency and compliance.
- Preventive Maintenance & Work Orders
- Generate and track work orders for maintenance activities through CAFM.
- Monitor completion and close-out of tasks in alignment with SLAs.
- Reporting & Analytics
- Prepare reports on asset performance, maintenance history, and space utilization.
- Provide dashboards and KPIs for management review.
- User Support & Training
- Train technicians and staff on CAFM usage and best practices.
- Provide troubleshooting and support for system-related issues.
- Compliance & Standards
- Ensure CAFM processes align with company policies and industry standards.
- Maintain documentation for audits and regulatory compliance.
- Bachelor’s degree in Facilities Management, IT, Engineering, or related field.
- Minimum 3–5 years of experience in CAFM or CMMS systems within data centers or critical facilities.
- Strong knowledge of asset management, preventive maintenance, and space planning.
- Familiarity with CAFM platforms (e.g., Archibus, FM:
Systems, Planon, IBM TRIRIGA). - Proficiency in MS Excel and reporting tools.
- Attention to detail and data accuracy.
- Strong analytical and reporting skills.
- Ability to train and support end-users.
- Excellent communication and documentation skills.
