Position OverviewThe Admin Operations Specialist – KSA provides end-to-end operational and business coordination support to the General Manager (GM), Saudi Arabia, ensuring efficient execution of business priorities and alignment with company policies and strategic objectives.
This role focuses on business coordination, stakeholder engagement, project follow-up, and executive-level operational support. The position acts as a key liaison between the GM and internal/external stakeholders and contributes to driving efficiency, compliance, and structured execution of business activities. The role requires a highly organized, proactive, and detail-oriented professional who can operate effectively in a dynamic and fast-paced environment.
Business & Executive Support- Provide structured business support to the General Manager on strategic and operational initiatives.
- Manage executive calendar, prioritizing meetings aligned with business priorities.
- Prepare agendas, presentations, reports, and briefing materials for leadership meetings.
- Track action items and ensure timely follow-up with stakeholders.
- Support leadership team coordination and communication.
- Act as liaison between the GM and internal/external stakeholders.
- Coordinate cross-functional initiatives to ensure timely execution.
- Support preparation of business reviews, market updates, and performance tracking reports.
- Maintain structured documentation of key business decisions and follow-ups.
- Arrange complex travel itineraries in line with company policies.
- Ensure alignment of travel plans with business schedules and priorities.
- Coordinate leadership meetings, business reviews, and commercial events.
- Ensure materials and documentation are prepared in advance.
- Follow up on post-meeting actions to ensure execution.
- Support implementation of strategic initiatives led by the GM.
- Track project milestones and provide regular updates.
- Identify risks or delays and elevate as necessary.
- Ensure documentation and processes align with corporate guidelines.
- Support adherence to company policies and regulatory requirements.
- Maintain confidentiality of sensitive business information.
- Bachelor’s Degree or equivalent qualification.
- 2–5 years of experience in executive support, business operations, or coordination roles.
- Strong organizational and time-management skills.
- Advanced proficiency in Microsoft Office Suite (PowerPoint, Excel, Word).
- Strong verbal and written communication skills in English;
Arabic is preferred. - Ability to manage multiple priorities in a fast-paced environment.
