Legal Secretary
The Legal Secretary will support our legal teams with high quality document production and efficient matter related administrative support. This role suits a detail oriented individual with excellent Microsoft Word and PowerPoint skills, strong formatting abilities, and familiarity with legal documents and workflows.
Main Responsibilities- Create, format, and proofread legal documents including agreements, correspondence, presentations, proposals, and internal forms
- Produce complex Word documents with styles, cross references, definitions, automatic tables, track changes, and comparison tools
- Prepare visually polished PowerPoint presentations, pitch decks, and client facing materials
- Manage document revisions, version control, file naming conventions, and consistency across multiple working drafts
- Maintain digital filing and matter related document repositories
- Convert, merge, and edit PDF documents as required
- Ensure all documents adhere to firm standards and housekeeping rules
- Support lawyers with document based tasks such as black lining, formatting corrections, and finalizing execution versions
- Calendar coordination (e.g., scheduling internal team calls or document related check ins)
- Interact with Accounting to process monthly bills
- Respond to regularly occurring requests for information
- Prepare expense reports
- Coordinate travel arrangements
- Share information and expertise readily with staff members at all levels
- A high school diploma or equivalent; a secretarial degree is preferred
- Native Arabic speaker with fluency in English
- Some experience in a law firm or professional services environment is strongly preferred
- Familiar with Saudi government portals such as Etimad, SBC, etc., is a strong plus
- Familiar with legal terminology, typical legal document structures, and confidentiality requirements
- Strong command of Microsoft Word (advanced formatting, styles, section breaks, headers/footers, numbering)
- Proficient in Microsoft PowerPoint, especially layout, formatting, and graphic consistency
- Basic Excel skills (not essential but helpful)
- Knowledge of marketing resources and relevant materials
- Knowledge of law firm office systems (Intapp Time, Intapp Open, etc.)
- High attention to detail and strong proofreading skills
- Able to work with multiple stakeholders and manage competing document deadlines
- Proactive, organized, and able to learn quickly
- Positive, team oriented approach with willingness to take ownership of tasks
