We are looking for a Workplace Specialist to join our team and take ownership of all aspects of the physical workplace. This role is critical to ensuring a safe, functional, and enjoyable working environment that supports productivity, collaboration, and employee well-being.

You will be responsible for managing our office space, facilities, supplies, maintenance, internet and IT infrastructure, food services, security, safety measures, and overall workplace experience.

Responsibilities
  • Oversee day-to-day operations of the office and all workplace facilities.
  • Manage office infrastructure, including internet, devices, workstations, utilities, and environmental systems (HVAC, lighting, etc.).
  • Coordinate maintenance, repairs, and renovation projects as needed.
  • Handle office supplies procurement, inventory, and vendor relationships.
  • Manage food and beverage services for the workplace (e.g., snacks, coffee, catering).
  • Supervise workplace security and ensure safety protocols are in place and compliant with local regulations.
  • Support onboarding of new employees with workspace setup and necessary tools.
  • Plan and implement space layout and seating arrangements that foster collaboration and efficiency.
  • Act as a point of contact for internal teams to gather feedback and improve the overall workplace experience.
  • Track and manage workplace budgets and expenditures.
  • Stay updated with workplace and facilities trends to continuously enhance our environment.
  • Bachelor’s degree in Business Administration, Facilities Management, or a related field.
  • 2+ years of experience in workplace, office, or facilities management.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills to work with cross-functional teams and vendors.
  • Good understanding of workplace design principles, health & safety standards, and employee engagement strategies.
  • Proficiency in Microsoft Office Suite and workplace/facilities management tools.
  • Ability to adapt in a fast-paced, evolving environment.
  • Passionate about creating a positive, functional, and engaging workplace culture.
