Overview

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s CEO.

Responsibilities
  • Perform an array of administrative tasks: manage calendars, book travel, schedule facilities and equipment, research topics, prepare documents, proposals, and presentations.
  • Take exceptional notes and minutes, follow up on meetings, interface with internal and external stakeholders, and go above and beyond to help us focus on what we need to do.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Open, sort, and distribute incoming correspondence, including faxes and email; file and retrieve corporate documents, records, and reports.
  • Manage business partner relationship duties such as sending birthday notes and gifts, greeting visitors, and deciding whether they should be able to meet with executives.
  • Manage information flow in a timely and accurate manner.
  • Make travel and accommodation arrangements.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Answer phones and route calls to the correct person or take messages.
  • Research and conduct data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Perform office duties that include ordering supplies and managing a records database.
  • Build efficiency and effective responsiveness and follow‑up mechanisms into existing operations and help define new operational workflows.
Qualifications
  • Based in Riyadh.
  • Work experience as an Executive Assistant to or GM or similar role.
  • Ability to quickly learn new tools and technologies; interest and experience in using technology and the Internet to improve work efficiency.
  • Excellent communication skills in English and Arabic.
  • Expectation of complete confidentiality on all business and personal matters.
  • Ownership over tasks and initiative taker.
  • Ability to organize a daily workload by priorities.

    Must be able to meet deadlines in a fast‑paced, quickly changing environment.
  • A proactive approach to problem‑solving with strong decision‑making skills.
  • In‑depth understanding of the entire MS Office suite.
