The CARE Office Intake and Project Coordinator provides proactive, high-quality, and trauma-informed support as a member of the Student Services organizational unit. This confidential role offers comprehensive administrative assistance to the CARE department, which provides resources for victims and survivors of sexual violence.

Key responsibilities include:

assisting with new client intake and confidential data entry; providing financial, budgeting, and accounting support, including departmental purchasing; coordinating departmental payroll and travel arrangements, ensuring compliance with all personnel guidelines; facilitating administrative support for departmental events; and providing backup support to other departments within the AVC/Dean of Students organization as needed. This position reports directly to the Director of the CARE Office.

Responsibilities
  • Serve as the first point of contact for all new clients, conducting brief needs assessments and providing frontline crisis intervention.
  • Coordinate follow-up with the CARE survivor support team and provide confidential assistance concerning sexual violence, domestic violence, dating violence, and stalking.
  • Maintain telephone and office accessibility during all business hours.
  • Input confidential client information into the Osnium data system and assist with file maintenance and reporting.
  • Schedule and coordinate meetings with CARE Advocates and prevention programs; process reimbursements and ensure compliance with policies.
  • Coordinate travel arrangements, order and maintain office supplies, schedule conference rooms, and provide administrative support for performance agreements and other forms.
  • Contribute to teamwork, mutual respect, and empowerment; attend staff meetings and retreats as required.
  • Prepare annual budgets, validate expenditures, and create financial reports for leadership; advise on fiscal year-end balances.
  • Prepare purchase orders, work orders, and recharges; negotiate with vendors and maintain purchasing logs.
  • Submit tickets for payroll and personnel items, and maintain compliance with policies.
  • Provide crisis intervention services, intervention with agencies or individuals, and referrals to sexual assault/domestic violence clients and the public.
Educational Requirements
  • Bachelor’s degree in a related field or equivalent combination of education and experience.
Experience Requirements
  • Five (5) years of related experience or equivalent combination of education and experience.
  • Experience with routine financial accounting/purchasing transactions and identifying account variances.
  • Experience exporting data, tracking, preparing spreadsheets, and documenting transactional backup reports using software such as Word, Access, Excel, File Maker Pro, etc.
  • Administrative experience in an office environment, including calendaring for staff/faculty, coordinating activities, travel, and programming.
  • Experience in a customer service oriented environment, responding to and exceeding the needs of faculty, staff, students, and the community.
  • Experience with UC online Payroll/Personnel System.
Preferred Experience
  • Experience with UCR Financial System (UCRFS).
  • Experience with online Student Information System (BANNER).
  • Experience in trauma-informed care.
Certification Requirements
  • California Certification for Sexual Assault Counselor within six months of hire.
  • California Certification for Domestic Violence Counselor within six months of hire.
Special Conditions
  • Complete a training program in counseling of sexual assault, dating/domestic violence, and stalking victims within six months of hire; may require a temporary schedule change to accommodate training on nights and weekends.
  • Maintain confidential communications with users of CARE services as required by California Evidence Code Sections 1035.2 and 1037.2.
