The Student Support Database Manager is primarily responsible for implementing and administering case coordination and Maxient-based technical assistance, leadership, and training that supports students, faculty, and staff as they navigate the college’s student conduct process, Threat Assessment Team (TAT) process, Clery reports, and student needs through the Office of Wellness and Mental Health. The manager provides overall administrative oversight for Maxient in areas that fall under Student Affairs or units led by the Vice President for Student Affairs and reports to the Director of the Office of Wellness and Mental Health.

May be required to perform other duties as assigned and to assist the agency or state government generally in the event of an emergency declaration by the Governor.
Duties and Tasks- Collect, track, manage, assign, and administer incident reports and case files concerning student conduct, student mental health/well‑being, Clery Act, or Threat Assessment reports.
- Administer policies and procedures related to the NOVA Maxient User and Access Manual.
- Ensure all electronic correspondence, data, notes, and corrective actions are accurately documented in Maxient according to state or federal laws and college policies.
- Manage all data, functions, and information in the Maxient database related to student conduct, NOVA Cares, and maintain strict adherence to access guidelines.
- Lead development, facilitation, and delivery of a college-wide training program for Maxient.
- Manage and secure electronic files for over 15,000 records and transactions annually.
- Manage access to Maxient in areas specific to Office of Student Support Services.
- Assist faculty, staff, and students with student services areas and provide quality service and leadership concerning Maxient.
- Perform annual assessment and advise internal stakeholders on how to improve Maxient to support the college mission and strategic priorities.
- All applicants must reside in VA, MD, or DC.
Required Qualifications
- Knowledge of state and federal laws, regulations, and policies concerning threat assessment and student rights and responsibilities.
- Knowledge and experience with cases involving student conduct, organizational misconduct, and behavioral well‑being concerns.
- Knowledge of student conduct and conflict education theory and practice (e.g., spectrum of resolution options model, inclusive conflict excellence, legal issues in student conduct).
- Knowledge of college and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
- Knowledge of the Maxient database or a related student conduct or electronic case management system.
- Knowledge of other common college computer applications (SIS, Navigate, etc.).
- Strong skills in monitoring/processes or services to make improvements.
- Strong writing and verbal communication skills.
- Demonstrated technical skills sufficient to oversee the maintenance of a complex and secure database.
- Demonstrated problem‑solving skills.
- Ability to work in diverse organizational settings and with diverse internal and external stakeholders in a higher education setting.
- Knowledge of complex systems and information.
