Job Description
The Office Assistant plays a critical role in ensuring smooth operation in a fast-paced work environment. This position is responsible for providing administrative support and maintaining a welcoming environment for clients and visitors. This position is Monday - Friday, 1st shift, working up to 38 hours per week.
Job Duties and Responsibilities- Provide support for front desk, kiosk and psychiatry
- Provide coverage during staff absences and breaks
- Provide excellent customer service
- Add individuals to EHR and maintain client files
- Complete data entry and upload documents
- Answer multi-line phones and direct phone calls, providing accurate information and assistance and manage faxes
- Verify client insurance benefits to determine coverage and copays
- Maintain client records and files, ensuring accuracy and confidentiality
- Conduct initial intake interviews with potential clients to assess their needs and eligibility for service
- Prepare and distribute meeting materials and agendas
- Resolve client inquiries and concerns in a timely and effective manner
- Adhere to all HIPAA regulations and maintain client privacy
- Follow organizational policies and procedures related to front-office operations
- Manage reports
- Assist with intake compliance
- Assist with internal and external correspondence
- Provide support to other offices as needed
- Support general office tasks such as filing, copying, and light housekeeping duties
- Coordinate referrals to other providers or community resources as needed.

- Strong interpersonal and communication skills:
Ability to interact effectively with clients, staff, and healthcare providers. - Excellent organizational and time management skills:
Ability to prioritize tasks and meet deadlines. - Proficiency in computer applications:
Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and electronic health records systems. - Attention to detail:
Ability to accurately maintain client records and follow procedures. - Customer service orientation:
Commitment to providing exceptional service to clients and families. - Problem-solving skills:
Ability to identify and resolve issues in a timely manner. - Adaptability:
Willingness to learn new skills and adapt to changing priorities.
- Minimum of 2 years work experience in an office environment
- Minimum of 2 years customer service
- Minimum of 1 years experience in behavioral health, preferred
- Minimum High School Diploma/GED
- Associate degree, preferred
