Front Desk/Receptionist, Office Administrator/ Coordinator
Allen & Allen is seeking an experienced Receptionist for our Richmond office. This is a full-time, non-exempt level position reporting to the Executive Assistant. The primary function of this position is to provide outstanding client service while handling calls from prospective clients efficiently and effectively in addition to managing the front office which requires the flexibility to juggle multiple priorities with professionalism.
Key Responsibilities- Assists clients and visitors at the office, notifying the appropriate individuals of their arrival, and generally providing them with a warm and professional greeting and welcome.
- Manages phone calls effectively by directing callers to appropriate individuals, providing information (such as directions or contact information), and maintaining a professional tone and high level of courtesy and service.
- Maintains a welcoming workstation and clutter‑free reception area.
- Utilizes tools and systems appropriately to manage calls, communicate with other receptionists, track availability of employees, and log other pertinent information.
- Manages conference room reservations utilizing the Firm's internal reservation system and Outlook.
- Assists other departments as needed with administrative tasks/projects.
- Completes other duties and projects as assigned.
- Ability to drive to other offices to provide backup support as needed.
- Ability to lift 20 pounds unassisted.
- General office environment requiring sitting for long periods of time.
- Ability to bend and stoop occasionally.
- Visual capability to work viewing a computer monitor for several hours of the day.
- Ability to operate a motor vehicle.
- The ability to work in an office environment around others.
- The ability to exhibit manual dexterity and use standard office equipment such as phones, keyboards, and copiers for extended periods of time.
- GED or High School Diploma.
- Minimum 3 years administrative experience: 2 of which in a Receptionist role managing a multi-line phone system.
- Strong multitasking capability to manage shifting priorities in a professional manner.
- Excellent oral and written communication skills.
- Positive attitude, team player mindset and flexibility.
- Exceptional interpersonal skills for frequent communication with clients, visitors, staff and attorneys.
- Ability to listen, analyze needs, and take appropriate action.
- Clear and concise communication style, both orally and in writing.
- Familiarity with technologies in use at the Firm, including Windows, Microsoft Word, Excel, Outlook, and Internet Explorer.
- Bilingual in Spanish is a plus.
