The Administrative Assistant supports the Director and leadership team by ensuring smooth daily operations, maintaining accurate records, assisting families, and helping the center remain organized and licensing-compliant.
This role is essential to the professionalism and efficiency of our academy.
π Key Responsibilities π« Front Office & Family Relations- β Greet parents, children, and visitors in a warm and professional manner
- β Answer and direct phone calls and emails
- β Assist families with enrollment paperwork and required documentation
- β Maintain student records in compliance with state licensing regulations
- β Track attendance and maintain staff schedules
- β Monitor staff certifications and required training documentation
- β Assist with child care subsidy paperwork and billing support
- β Prepare files for licensing reviews and audits
- β Maintain organized filing systems (digital and physical)
- β Order office supplies and manage inventory
- β Assist with payroll documentation (if applicable)
- β Ensure confidentiality of all student and staff information
- β Prepare newsletters, memos, and parent communication
- β Assist with special events and family engagement activities
- β Support hiring efforts (applications, interview scheduling, onboarding paperwork)
- β Highly organized and detail-oriented
- β Professional, polished, and reliable
- β Friendly and welcoming with families
- β Strong written and verbal communication skills
- β Comfortable using Microsoft Office and email systems
- β Able to multitask in a busy environment
- β Maintains confidentiality and professionalism at all times
- β High School Diploma or equivalent (Associateβs degree preferred)
- β Previous administrative experience required
- β Childcare or education experience preferred
- β Must pass criminal background and central registry check
- β CPR/First Aid certification (or willingness to obtain)
