Note:
This is a Political Appointee position.
- Under the direction of the Chief Deputy Attorney General (CDAG) and Chief of Staff, provide executive-level administrative support to the CDAG and Attorney General's Chief of Staff, handling a range of duties and responsibilities.
- Administrative Support:
Manage calendars, schedule appointments, coordinate meetings, and arrange travel. - Communication Management:
Handle incoming and outgoing communications (emails, phone calls, written correspondence); draft and prepare official documents, letters, reports, and other materials as required. - Records Management:
Maintain accurate records, files, and databases with confidentiality and security for sensitive information; retrieve and compile data as needed and assist with presentations and reports. - Meeting Coordination:
Organize internal and external meetings, conferences, and events, including logistics, agendas, materials, and follow-up actions; attend meetings and take minutes when required. - Liaison Function:
Serve as a primary point of contact between the CDAG, Chief of Staff, and internal/external stakeholders; handle inquiries and requests promptly and professionally. - Research and Analysis:
Conduct research, collect data, and provide analysis on various topics; prepare summaries, briefing notes, and presentations for decision-making. - Office Management:
Oversee the Executive Suite operations, ensure supplies and resources are available, and coordinate with IT and other departments as needed. - Confidentiality and Ethics:
Maintain a high level of confidentiality, integrity, and professionalism; adhere to ethical standards and regulations governing the Attorney General's office. - Performs other related duties as required.
- Proven experience in providing executive-level administrative support, preferably in a legal or government setting. Familiarity with legal terminology and processes is desirable.
- Strong organizational skills with the ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, including composing professional correspondence and taking accurate meeting minutes; ability to interact professionally with a diverse range of individuals.
- Meticulous attention to detail and high accuracy in record-keeping, data entry, and document preparation.
- Ability to handle confidential and sensitive information with discretion and maintain strict confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software; experience with document management systems and databases is a plus.
- Strong interpersonal skills; ability to work both as part of a team and independently; professionalism, tact, and diplomacy in dealings at all levels.
- Flexibility to adapt to changing priorities and work under pressure while maintaining a positive attitude and commitment to excellent service.
- Notary public in the Commonwealth of Virginia or ability to obtain within the first 60 days of employment.
Any combination of education and experience equivalent to a bachelors degree in a relevant field.
