Closing Coordinator & Warranty Administrator

We’re looking for a polished, service-driven professional to join our team as our next Closing Coordinator & Warranty Administrator.

In this hybrid role, you’ll be the central point of contact between homeowners, lenders, internal departments, and trade partners — ensuring a smooth, stress-free path from contract to closing and exceptional care throughout the warranty process.

You will be the trusted guide for our home buyers during one of the most meaningful experiences of their lives. From preparing contract files to coordinating closings to managing warranty communications, you ensure our customer experience remains seamless, responsive, and rooted in care.

What You’ll Do Closing Coordination
  • Notify home buyers of New Home Orientation and Closing dates at least 30 days in advance.
  • Set expectations, educate buyers on the process, and provide clear, supportive communication to reduce stress and increase confidence.
  • Serve as the primary liaison for buyers, lenders, and internal teams to ensure all closing requirements are met.
  • Provide accurate project and community information to lenders to support timely loan approval and closing.
  • Be a trusted, steady resource who guides purchasers through every step of their home-closing journey.
Warranty Administration
  • Input all New Home Orientation, 45-day, and 11-month warranty requests into Mark Systems to maintain accurate, permanent records of homeowner items.
  • Track and close warranty items, ensuring completed items are properly documented and filed.
  • Provide homeowners with updated warranty status reports whenever changes occur to keep communication transparent.
  • Create and distribute weekly Warranty Department reports for team review and planning.
  • Maintain accurate Sales Status Reports for each community.
  • Provide actual vs. budget sales reporting weekly to the Director of Sales & Marketing.
  • Manage contract files for accuracy and completeness and track outstanding items.
  • Oversee Earnest Money and Option Down Payments, ensuring timely processing with accounting.
  • Maintain scheduled settlement dates in Mark Systems for accurate company wide reporting.
What Makes You a Great Fit
  • Bachelor’s degree in business, marketing, or related field — or equivalent experience.
  • 3+ years in sales support, customer service, or homebuilding/real estate preferred.
  • Strong understanding of contracts, sales processes, and homebuilding or real estate procedures.
  • Excellent communication skills — warm, professional, and proactive.
  • Exceptional organizational skills with the ability to manage multiple timelines and stakeholders.
  • Confident problem-solver who remains calm and customer-focused.
  • Proficient with Microsoft Office; experience with Mark Systems is a plus.
  • A passion for providing exceptional service and contributing to a high-performing team.
