Role objective

Provide high‑quality administration and operational support within the Financial Services team, ensuring all processes within the client journey are delivered accurately, efficiently and in line with regulatory requirements. Support colleagues and advisers to ensure exceptional service is consistently delivered to new and existing clients.

Key Responsibilities Client administration and processing
  • Process new business submissions from end to end, ensuring accuracy, timely completion, and compliance with internal procedures and FCA requirements.
  • Generate and issue invoices where required.
  • Prepare annual review packs and portfolio reports using Intelliflo Office, ensuring all client plan, valuation, and investment data is correct and up to date.
  • Draft, issue, and track letters of authority; liaise with providers to obtain product and policy information.
  • Maintain accurate client records, tasks, and workflows within Intelliflo Office and across all relevant platforms.
Operational administration
  • Carry out a variety of back‑office administrative tasks according to defined business processes.
  • Open, scan, and distribute incoming post; manage outgoing correspondence.
  • Ensure documentation and files are accurately stored in line with GDPR and data security requirements.
  • Support Consultants and Advisers with day‑to‑day administrative queries and operational tasks.
  • Identify inefficiencies and propose improvements to enhance service delivery and workflow effectiveness.
Team and business support
  • Collaborate with colleagues to ensure smooth daily operations and adequate coverage across the team.
  • Assist with internal projects, audits, or compliance tasks as directed.
  • Contribute positively to a supportive, high‑performing team environment.
Person specification Knowledge And Experience
  • Previous administration experience within financial services or another regulated environment (desirable).
  • Understanding of office procedures, administrative systems, and business workflows.
  • Knowledge of data protection, confidentiality principles, and FCA expectations regarding client information.
  • Experience using financial services back‑office systems (e.g., Intelliflo Office) (desirable).
Skills And Competencies
  • Exceptional accuracy and attention to detail.
  • Strong organisational and time‑management skills, with the ability to prioritise multiple deadlines.
  • Clear, confident, and professional communication skills—both written and verbal.
  • Ability to follow defined business processes and work methodically.
  • Proactive, helpful, and positive approach to supporting colleagues and clients.
  • Willingness to learn, develop new skills, and adapt to business and regulatory changes.
  • Demonstrates good judgement, problem‑solving ability, and a solution‑focused mindset.
IT Skills
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Confident in learning new systems and software quickly.
  • Desirable experience with financial planning and industry‑specific software, including:
  • Dynamic Planner
  • Wealth platforms
  • Intelligent Office (CRM)
  • Cashflow planning tools
  • Genovo or similar suitability/letter‑writing systems
  • Use of AI‑supported tools or systems
