Under the direction of the COO, the Operations Manager provides administrative, operational, and cultural support across the organization. This role strengthens internal processes, ensures smooth day‑to‑day operations, and supports staff experience and organizational efficiency in alignment with Family Lifeline’s mission and values.
Qualifications- a. Bachelor’s Degree in Human Services Management, Business Administration, or other related field preferred. High school diploma required with a minimum of five years of experience in the administrative support field.

- c. Demonstrates excellent written, oral, telephone, and documentation skills.
- Demonstrates highest level of integrity and ability to ensure security of confidential information.

- f. Ability to work independently, manage multiple priorities, problem solve, and respond flexibly to changing needs.

- Possess a valid Virginia driver’s license, automobile insurance, and reliable transportation.

- Supports organizational culture and employee engagement efforts, including communications, staff feedback, and related documentation.
- Maintains positive relationships with staff, partners, and families.
- Conducts exit interviews and gathers insights to support continuous improvement.
- Tracks and reports on employee engagement metrics, including survey participation, feedback themes, and progress on engagement initiatives.
- Coordinates and supports recruitment and hiring to include recruitment activities of identifying appropriate job posting sites, posting job openings both internally and externally, tracking candidates, completing background checks, checking references, and sending offer letters.
- Participates in interviewing potential employee candidates when needed.
- Coordinates recruitment, hiring, onboarding, and benefits processes, including posting jobs, screening candidates, conducting orientation, and maintaining personnel documentation.
- Ensures a smooth onboarding process for staff including conducting orientation, reviewing policies, introducing Senior Leadership Staff and other key individuals, and communicating the importance of the Family Lifeline values.
- Supports regulatory compliance efforts, including adhering to state, federal, and contract requirements.
- Participates in risk assessment processes and helps develop mitigation strategies.
- Ensures organization wide adherence to safety, security, and privacy policies.
- Assures personnel records are complete, up to date and compliant.
- Consults and guides employees and managers regarding policies and procedures, performance management and other work‑related issues according to FLL Policy Manuals and organizational alignment.
- Supports continuous improvement of organizational processes, policies, and systems to enhance operational efficiency and strategic alignment.
- Ensures that the building is well‑maintained and that the offices are organized, clean and secure.
- Participates in all continuous quality improvement processes.
- Performs general administrative support functions, including filing, communication support, supply management, and front desk coverage as needed.
- Coordinates logistics and support for internal events, including scheduling, materials, and onsite preparation.
- This position does not have formal direct reports but provides ongoing task supervision for designated administrative support roles and volunteers.
