Administrative Services Specialist – VCU Health
Provides executive level administrative support to VCUHS Vice President(s) or Executive Director(s). The role ensures all administrative assignments are carried out in a professional, timely and confidential manner and that the office operates efficiently and effectively.
Responsibilities- Provide independent administrative support, including full spectrum of administrative responsibilities.
- Communicate and interact with all levels of internal and external contacts.
- Oversee operational aspects of office.
- Coordinate/schedule all meetings and make related arrangements.
- Type a variety of documents.
- Screens and refers calls.
- Handles purchase requisitions and travel reimbursements, etc.
- Back‑up coverage to other senior level executives as needed.
- Minimum of four (4) years of secretarial/administrative work experience in an office setting.
- Previous experience with Microsoft Office applications and e‑mail/calendaring.
- One (1) year supervising staff.
- Two (2) years of accounting/budgeting functions in a corporate setting.
- High School Diploma or equivalent.
- Associate Degree in Business, Accounting or related field from an accredited program.
- Must be able to perform all administrative responsibilities independently.
- Supervisory responsibilities (if applicable): may supervise assigned staff or interns/students.
- Lift 20–50 lbs.
- Prolonged sitting, frequent bending, walking (distance).
- Strong recall, reasoning, problem solving, hearing, speaking clearly, writing legibly, reading, logical thinking.
- Fast‑paced environment, steady pace, handling multiple priorities, adapting to frequent change.
