The Richmond Behavioral Health Authority has a full-time position available for a Program Coordinator in our Quality & Standards Division. The successful candidate will perform intermediate skilled administrative support with the primary responsibility of overseeing and completing credentialing and incident reports. In addition to providing a high level of administrative support to a division, planning, monitoring and coordinating various programs, activities and staff, maintaining records and files, preparing reports, maintaining accurate and timely data entry of client information into the electronic system, and related work as apparent or assigned.

Functions
  • Provide administrative support to the Department of Administration, including Quality and Standards.
  • Primary responsibility of completing and maintaining staff credentialing for RBHA staff, to include initial paperwork, maintaining rosters, follow up and tracking.
  • Track, monitor, report and complete submission for incident reports.
  • Track, monitor and first point of contact for student requests.
  • Maintain clinical supervision matrix for agency.
  • Assist with follow‑up on Prior Authorizations (PA's) with Medicaid and Medicaid HMOs with Magellan.
  • Collect and compile statistical data to prepare monthly reports (Audits, students, CAP’s, etc.).
  • Prepare, distribute and save employee timesheets, leave slips and submit to payroll for administrative staff.
  • Maintain inventory of office supplies as needed.
  • Requests and monitors unit maintenance as needed for printers/faxes/scanners.
  • Prepares and submits reports for management as required ensuring compliance of all State and Federal Regulations.
  • Verifies purchase invoices for Director’s review and signature.
  • Prepare All‑Staff meeting minutes as well as other meetings as required.
  • Reserve meeting rooms as needed.
  • Maintains staff contact list with both personal cell phone numbers and interoffice extensions.
  • Provides training for other administrative staff on various software packages; troubleshoots hardware, software and office equipment issues within assigned division.
  • Files and scans various documents (contracts, CAP’s, audit findings, etc.).
  • Scheduling (staffing and programming).
  • Assist staff with travel, training and expense.
  • Maintain Visa Log.
  • Review and update Agency and Unit policies and procedures as well as Standard Operating Procedures for program development in collaboration with Program Manager.
  • Performs special projects as assigned.
