Position DescriptionThe Assistant to the Executive Officers is a strategic advisor who provides high-level, confidential support to the Secretary-Treasurer and Executive Vice-President across all their responsibilities, and to the Assistant to the President as needed. This position plays a critical role in supporting executive functions, navigating complex organizational dynamics, and advancing equity and inclusion across the union’s priorities.
The successful candidate will be a skilled communicator, deeply committed to anti-racism and equity, and capable of operating with exceptional discretion and sound judgment. Our Executive Officers count on this position to ensure that strategic and operational initiatives advance in a coordinated and effective way. The position can also be designated to represent the Secretary-Treasurer and/or Executive Vice-President in planning and implementation of the union’s programs, key external relationships, program updates with the management team, and to oversee the preparation and organization of their priority work and schedule.
This position is full-time working at our Head Office in Richmond Hill, Ontario.
Responsibilities- Supports the work of the Secretary-Treasurer and Executive Vice-President, including developing and implementing plans related to their priority responsibilities.
- Represents the Secretary-Treasurer and Executive Vice-President with local union staff in union-wide planning, decision-making and operations as assigned.
- Serves as an advisor to the Secretary-Treasurer and Executive Vice-President and supports them in strategic thinking in priority areas, including work with labour movement and political partners.
- Ensures the preparation of the Secretary-Treasurer and Executive Vice-President for key SEIU leadership and external partner meetings, which includes materials preparation and briefing.
- Provides confidential administrative support to the Secretary-Treasurer and Executive Vice-President and acts as liaison between them and internal and external stakeholders.
- Provides schedule management for the Secretary-Treasurer and Executive Vice-President under the pressure of changing priorities and multiple deadlines.
- Provides confidential administrative support as delegated by the Assistant to the President.
- Other duties as assigned.

Required Experience- At least five (5) years’ experience as an Executive Assistant.
- Minimum of one (1) year of directly related experience, preferably in a trade union, political organizations, or similar environments that would prepare you to be successful in supporting our elected leaders.
- Proven experience working across diverse communities and navigating complex organizational dynamics with sensitivity and discretion.
Skills and Qualifications
- High degree of initiative, good judgement, organizational skills, and the ability to work under strict deadlines.
- A demonstrated commitment and deep understanding of anti-racism, equity, and the lived experiences of equity deserving individuals and underrepresented groups.
- A track record of being able to navigate race, gender, and power dynamics thoughtfully to lead in a manner that advances equity and inclusion of everyone.
- Exercises a high level of autonomous decision making and problem-solving skills.
- Strong planning skills, ability to discern priorities, and manage multiple responsibilities.
- Ability to determine priorities and problem solve with minimum supervision.
- High Emotional intelligence and professional self-management while under pressure.
- Proficiency in the use of a personal computer, including the ability to use Windows, e-mail, and the internet.
- Willingness to work long and irregular hours, including weekends and evenings and holidays as required.
