Job Summary

The Conference Planner will be responsible for establishing a warm, welcoming, and professional atmosphere for all clients, executives, and team members within a corporate work environment. Our team provides a one‑stop shop experience for our clients, offering a single point of contact to book meeting space, add audio‑visual and other items, order catering, and handle any other details related to their meeting to create a seamless booking process.

In this role, the Planner will process facility service requests and assign & communicate to the appropriate team to manage. The person in this role should have experience with conference centers, hotels, or convention services and knowledge of booking catering for clients. Key Responsibilities
  • Single point of contact for clients to reserve their conference rooms and detail all aspects of their meeting for a seamless meeting experience, including room setup, audio‑visual, additional equipment & furniture, and catering menus and special requests.
  • Oversee day‑of meetings to ensure rooms are set up correctly, review BEOs to ensure Catering has been set up per the client’s order, greet the client upon arrival, and handle any additional add‑ons.
  • Utilize the room reservation system (EMS) to ensure all meeting details are input into the system and create and detail floor diagrams in Social Tables.
  • Knowledgeable about Catering menus to place Catering orders and create upselling opportunities.
  • Educate and provide guidance for guests as they navigate reserving conference rooms, equipment, and Catering in a post‑COVID environment.
  • Complete weekly conference center room inspections and submit work order requests for assignment to appropriate departments.
  • Oversee the Market assigned to the Catering & Conference Services Planner and assist as the point of contact for specific VPs and frequent EMS users.
  • Answer telephones on the central Reservation & Facility Line for the Enterprise in a friendly, professional manner to process room reservations and facility requests.
  • Submit, process, and handle building maintenance tickets on behalf of clients and communicate information to appropriate teams.
  • Troubleshoot EMS requests from clients, including assisting with setting up profiles, using the reservation system, or placing a catering order.
Qualifications
  • 2‑year college degree preferred;
    Two to three years experience in a conference center or corporate environment.
  • A genuine sense of hospitality, with a commitment to delivering the Platinum Service® Standard in all aspects of the coordinator’s job and excellent phone skills.
  • The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously.
