A prominent global financial institution within the asset and wealth management space is seeking an experienced Administrative Assistant to provide high-level support to senior leaders and cross-functional teams. This 12 month+ contract opportunity is based onsite in Richardson, TX and offers the chance to work in a collaborative, fast-moving corporate environment where professionalism and precision are key.
The Administrative Assistant will serve as a key partner to executives and internal teams, ensuring smooth coordination of schedules, meetings, travel, and operational tasks. Success in this role requires strong judgment, confidentiality, and the ability to anticipate needs before they arise.
Primary Responsibilities:Executive & Operational Support
- Provide comprehensive administrative assistance to multiple senior leaders
- Maintain organized records, process documentation, and support reporting needs
- Assist with invoice tracking, time entry, and general administrative workflows
- Contribute to special projects and team initiatives as assigned
- Schedule and coordinate internal and external meetings, including virtual and in-person sessions
- Serve as a central point of contact for scheduling communications
- Partner with facilities or conference services to arrange meeting space, catering, and materials
- Coordinate domestic and international travel arrangements, including flights, hotels, and ground transportation
- Prepare and reconcile expense reports accurately and in a timely manner
- Support invoice submission and tracking through internal systems
- Handle sensitive business information with a high degree of confidentiality
- Ensure all administrative activities align with internal policies and approval processes
- Previous experience supporting executives or senior professionals in a corporate environment
- Strong communication skills, both written and verbal
- Ability to prioritize effectively in a fast-paced, deadline-driven setting
- Excellent organizational skills and close attention to detail
- Professional demeanor with strong interpersonal skills
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms
- Experience with expense management systems is a plus
