Responsibilities
You will oversee a team of patient coordinators, performing both administrative and operational functions to support smooth practice operations under minimal supervision. Your duties include coordinating coverage for the front desk and checkout, managing provider and resident schedules, routing incoming calls, delegating assignments, and ensuring accurate documentation of patient communications.
As a superuser for scheduling, registration, and billing systems, you will provide guidance and training to team members while handling complex scheduling needs such as template changes and schedule blocking. You will collaborate with leadership to oversee daily staff activities and provide functional guidance to office and practice assistants.
You will support referral workflows, manage incoming messages related to prior authorizations, provider questions, prescription refills, and test results, and perform scheduling of patient appointments, maintaining appointment records, processing patient billing forms, scanning documents into the medical record, accepting co‑payments as needed, ordering office supplies, and providing lunch coverage to ensure consistent front desk and administrative operations.
Qualifications EducationHigh School Diploma or Equivalent required
Experience- 3-5 years office experience required
- Strong technology and MS Office skills – Advanced Outlook, Word, Excel, Power Point
- Knowledge of office operations and standards, understanding of office procedures including filing, copying, scanning, printing, and faxing
- Ability to use phone system and manage more non‑routine phone calls and solve routine issues as appropriate
- Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively
- Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e‑mail, memos and letters), and to take complete and accurate messages
- Managing one's own time and the time of others
- Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems
- Ability to proofread and edit written documents
