** Description*
* The Program Management Administrative Assistant provides essential administrative, logistical, and coordination support to Leidos' Exploration, Environment and Earth Intelligence (E3) Division, including direct support to the Vice President/Division Manager and the division Program Management Office (PMO), to ensure efficient execution of division activities. This role manages calendars and inboxes, coordinates key program meetings (e.g., Kick-offs and Technical Status Reviews), prepares and organizes materials, captures and archives meeting notes and action items, and supports tracking and reporting of program-related activities, projects, and PMO staff travel.

The position also supports document and records management by organizing, publishing, and archiving program artifacts for stakeholder access, assists with employee and community engagement, and serves as a primary point of contact to connect new employees with appropriate resources. Success requires strong organizational skills, attention to detail, discretion, distributed-office management proficiency, and the ability to manage multiple priorities in a highly dynamic environment with a self-starting, professional demeanor.

** Responsibilities:*
* + Coordinate division activities, including internal and external meetings at all levels (including Executive).

+ Coordinate local employee and community engagement across the division, including overseeing development, provisioning, and event logistics.

+ Provide calendar and inbox management to leadership in support of program and division goals.

+ Coordinate and manage travel activities for leadership.

+ Coordinate schedules, venues, and participants for monthly and quarterly program reviews, conferences, and other events.

+ Communicate effectively and efficiently with internal and external stakeholders in writing, on the phone, and in person to support leadership in critical program-related decisions.

+ Coordinate inputs, prepare reports/presentations, and ensure timely delivery of weekly/monthly reporting materials.

+ Conduct inventories and order office supplies as needed.

+ Support creation and maintenance of division knowledge management through the use of AI that supports dashboards for action item tracking, critical projects, and related needs.

** Requirements*
* + High School diploma or equivalent and at least 4 years of experience including Administrative, project support, or program coordination role, preferably in a program management or PMO environment supporting senior leaders or management teams.

+ Strong organizational skills with the ability to manage multiple priorities and deadlines.

+ Excellent attention to detail and accuracy in scheduling, documentation, and data tracking.

+ Proficiency in the Microsoft Office suite with particular emphasis on word processing, presentation, and spreadsheet applications (MS Teams, MS Forms, MS Word, MS PowerPoint, MS Excel, and SharePoint).

+

Experience with record management systems (e.g., Sharepoint, One Drive, Teams or similar tools) or willingness to learn quickly.

+ Strong written and verbal communication skills, including the ability to capture clear, concise meeting notes and action items.

+ Ability to coordinate logistics for meetings and events, including scheduling, deconflicting calendars, and ensuring the right attendees are included.

+ Competence in maintaining logs, trackers, and reports.

+ Ability to organize, publish, and archive documents in a structured and accessible way.

+ Strong customer service orientation with the ability to serve as a helpful and welcoming point of contact for new and existing staff.

+ Must have proven high level of professionalism, discretion, and confidentiality; must be reliable, proactive, adaptable, collaborative and self-directed with a strong sense of ownership over responsibilities.

+ Proficient in navigating electronic systems, computer programs, and virtual service platforms.

+ Ability to work well with limited supervision.
