The billing specialist manages client billing and payment‑related inquiries. This role is responsible for the entire billing cycle, from draft edits to final submission, including upload to an external billing platform when necessitated. This position is cross‑trained and will serve as a backup to other accounting team members when necessary.

Duties & Responsibilities:

• Act as the dedicated biller for assigned attorneys, managing the end‑to‑end billing process.
• Proactively communicate with attorneys and paralegals regarding billing deadlines, unbilled time, and client‑specific billing issues and requirements.
• Research and respond to client and attorney inquiries regarding invoices, payment applications, and account balances.
• Generate and review pre‑bills for attorney review, making edits for narrative descriptions, time entries, and costs as requested.
• Proactively assist with the firm’s collection efforts on past‑due client accounts. This includes generating and sending account statements, drafting professional reminder communications, making outbound calls to clients, and documenting all collection activities meticulously in our system.
• Manage complex billing arrangements, including e‑billing submissions through third‑party portals, split/multi‑party billing, and adherence to strict client billing guidelines.
• Provide comprehensive support to the accounting department, including filing financial documents, performing ad‑hoc data analysis for partners and management, and acting as a team member point of contact for financial inquiries from attorneys and staff.
• Assist in gathering necessary documentation and preparing schedules for the annual financial audit and other regulatory examinations. This includes preparing specific items from the “Prepared by Client” list as requested by external auditors.
• Prepare and distribute monthly Accounts Receivable aging reports to partners, highlighting past‑due accounts.

Qualifications & Requirements:

• Bachelor’s degree in Accounting or Finance required.
• A minimum of 2 years of experience in a billing or accounts receivable role in a law firm is highly preferred.
• Experience with electronic payment systems and online banking portals.
• Hands‑on experience with legal‑specific SAAS accounting and billing software is highly preferred.
• A strong understanding of Generally Accepted Accounting Principles (GAAP) is essential for this role.
• Foundational knowledge of cost accounting as it applies to tracking billable vs. non‑billable time and client‑related costs.
• Experience processing payments through online banking portals, including ACH and wire transfer systems.
• Proficiency using Adobe Acrobat Pro for managing, combining, and annotating financial documents.
