TITLE: Pharmacy Technician, Centralized Refill Authorization

JOB OVERVIEW

The Pharmacy Technician, Centralized Refill Authorization representative is responsible for reviewing and processing prescription refill requests in a centralized environment serving multiple Primary Care providers. Acting as a key liaison between patients, providers, and pharmacies, this role ensures that refill requests are handled promptly and accurately, maintaining high levels of customer service and patient satisfaction. The centralized Refill Authorization Pharmacy Technician is responsible for supporting the pharmacists in their duties by providing technical assistance in accordance with department policy and Washington State Law.

REPORTS TO: Clinical Ambulatory Pharmacy Operations Manager

PREREQUISITES

  • High school diploma or equivalency (GED) required.
  • Current licensure by the Washington State Pharmacy Quality Assurance Commission (PQAC) as a Pharmacy Technician, required.
  • Minimum 1-2 years Pharmacy Technician experience in a retail pharmacy setting, preferred.
  • Prior Experience Using Epic Preferred.
  • Nationally certified by the Pharmacy Technician Certification Board (PTCB), or equivalent preferred. Certification required for Tech II classification (see addendum).

QUALIFICATIONS

  • Proficiency in computer keyboarding (approximately 30 wpm).
  • Demonstrated ability to exercise independent judgment and discretion, with good public relations and proper patient management skills, and the ability to maintain positive interpersonal relationships with fellow employees.
  • Strong customer service orientation and placing priority on serving the needs of patients, their families, and health care providers.
  • Ability to communicate and work effectively with a diverse population.
  • Ability to maintain confidentiality of patient information.
  • Ability to work with Microsoft Office Programs and other pharmacy computer systems.
  • Demonstrated ability to work effectively in a team environment.

Ability to work effectively under pressure in a fast-paced environment and manage multiple tasks simultaneously.

Strong organizational and time management skills.

Unique Physical/Mental Demands, Environment And Working Conditions

  • Extensive computer use (keyboarding) which includes chart review, documentation, and use of various software programs and IT systems.
  • Requires the ability to sit for extended periods.
  • Strong customer service skills.
  • Excellent listening and problem-solving skills.
  • Flexible to work various hours to include evening, weekend, and holidays.
  • General knowledge of Third-Party Insurances.

    Competencies:

Review, prepare, and submit medication refill requests to pharmacists for approval, following established protocols.

Accurately enter patient and prescription information into the Electronic Health Record (EHR) system.

Respond to patient inquiries both verbally and in writing regarding refill status, dosage instructions, and general medication-related questions within the scope of the role.

Communicate patient needs and concerns to providers or clinical staff, both verbally and in writing, to ensure timely resolution of refill-related issues.

Serve as a central point of contact for physicians, nurses, and pharmacies, maintaining open lines of communication regarding patient refills.

Collaborate with clinical staff to clarify prescriptions, confirm dosages, or address any potential medication conflicts.

Maintain accurate and timely documentation in the EHR, adhering to clinic policies and HIPAA regulations.

Provide professional, courteous, and empathetic support to patients, even under high-volume or challenging circumstances.

Foster a positive and respectful work environment, demonstrating dependability through consistent attendance and punctuality.

Attend department and organization-wide training sessions as required.

Maintain comprehensive knowledge of the top 200 drugs.

Investigate patient and insurance calls regarding pharmacy billing.

Perform other duties assigned to support departmental operations.
