Job Overview

The Patient Access Associate is responsible for scheduling services in hospital and clinic services using inbound and outbound call handling and MyChart requests. Responsibilities also include scheduling, pre‑registration, insurance verification, registration, check‑in (admission), estimates, payment collections, check‑out, and scheduling in‑person in their respective departments.

Prerequisites
  • High School Graduate or equivalent (G.E.D.) required.
  • Minimum one‑year front‑office experience in a physician office or hospital access department.
  • Proficient in scheduling, registering, using multi‑line phone systems, Electronic Medical Record systems, and working with several software programs at the same time.
  • Keyboarding skill of 35 WPM.
  • Computer experience in a Windows‑based environment.
  • Excellent communication skills (verbal, written, listening).
  • Excellent customer service skills.
  • Knowledge of medical terminology and abbreviations.
Key Responsibilities
  • Inbound and outbound scheduling, pre‑registration, insurance verification, registration, check‑in, estimates, payment collections, check‑out, and in‑person scheduling.
  • Confirm referrals, coordinate prerequisites (labs, films, medical history), and manage external resources.
  • Verify insurance coverage, inform patients of benefit limitations, and handle financial clearance.
  • Generate patient estimates and accept payments per POS Collections Guidelines.
  • Use EPIC and MyChart for scheduling and data entry.
  • Maintain accurate electronic records and adhere to VMC registration standards.
  • Deliver exemplary customer service, resolve issues, and document correspondences.
Qualifications
  • Effective interaction with patients, peers, and providers.
  • Access, analyze, and adhere to departmental protocols and compliance standards.
  • Strong written and verbal communication skills.
  • Empathy, active listening, and de‑escalation skills.
  • Problem‑solving and multitasking abilities.
  • Proficiency in Microsoft Office, EPIC, and other relevant software.
Physical & Mental Demands
  • Stand or sit for extended periods.
  • Repeated keyboarding and lifting supplies up to 10 lbs.
  • Push patients in wheelchairs from admitting department to patient care area.
Environment & Working Conditions

Fast‑paced environment with high volume of inbound calls; frequent interruptions; requires simultaneous task management.
