Position: Receptionist / Administative Assistant

Bilingual Receptionist / Administrative Assistant Job Overview

We are seeking a professional and customer‑focused Bilingual Receptionist to manage front desk operations and provide essential administrative support. This role serves as the first point of contact for visitors and callers, ensuring a welcoming, efficient, and organized office environment. The ideal candidate is fluent in both English and Spanish, highly proficient in Microsoft Office—especially Outlook—and excels in communication, multitasking, and time management.

Located in the North Valleys - Must have reliable transportation.

Key Responsibilities Front Desk & Visitor Management
  • Greet, welcome, and assist visitors in a professional and friendly manner.
  • Answer, screen, and route incoming phone calls promptly.
  • Maintain a clean, organized, and presentable reception area.
Communication & Correspondence
  • Manage incoming and outgoing mail, packages, and courier deliveries.
  • Monitor and respond to emails; take accurate messages when needed.
  • Provide high‑quality customer service to internal and external contacts.
Scheduling & Calendar Coordination
  • Manage electronic calendars using Microsoft Outlook.
  • Schedule and coordinate meetings, conference rooms, and appointments.
  • Assist with travel coordination and itinerary support as needed.
Administrative & Clerical Support
  • Perform data entry, filing, and document preparation (memos, reports, presentations).
  • Process basic invoicing and administrative paperwork.
  • Monitor and order office supplies to ensure adequate inventory.
  • Assist with general office operations and support departments as needed.
Office Operations
  • Ensure the workplace is maintained, organized, and fully operational.
  • Assist with basic use of office equipment such as printers, copiers, and scanners.
Required

Skills & Qualifications
  • High school diploma or equivalent; additional administrative training is a plus.
  • Proven experience in a receptionist, administrative, or front office role.
  • Strong proficiency in Microsoft Office Suite—especially Outlook, Word, and Excel.
  • Bilingual in English and Spanish (both written and verbal).
  • Excellent communication and interpersonal skills.
  • Strong attention to detail, organization, and accuracy.
  • Ability to multitask, prioritize tasks, and remain calm under pressure.
  • Professional appearance, attitude, and customer service approach.
Pay Details

$21.00 per hour
