summary description
under the supervision of the assistant controller, performs a variety of detailed clerical work necessary to maintain accurate current and historical property and equipment records. Incumbent performs related work as required. Additional responsibilities include managing storage areas at the edison warehouse, including electronic waste (e-waste) and auction cages.
fixed asset specialist exemplary duties/responsibilities asset inventory management- following nevada revised statutes (nrs) and nevada department of education requirements assigns asset tags or other methods of identifying all equipment and fixed assets owned or in custody of the district.
- develops detailed descriptions of current property and equipment.
- inputs data and maintains computerized fixed assets inventory system.
- maintains documents to provide historical records of assigned asset tags.
- prepares monthly reconciliation reports for capital and non‑capital assets including identifying correcting journal entries needed and submits to assistant controller.
- reviewing purchase orders for proper coding.
- working with sites to determine whether items listed separately on purchase orders are part of a larger asset. Searches records for information needed by district personnel, accountants, police, insurance agencies, the public and others.
- assists district personnel in relocations services; provides documentary support for relocations of property and equipment.
- prioritizes workload and projects to meet deadlines and needs of district sites and departments.
- coordinates with sites and departments and provides guidance/training on correct processes for purchasing, tagging, and disposing of equipment.
- supervises and provides training to property control clerk and clerical staff to ensure uniformity in the database and consistency of procedures.
- makes recommendations and provides supporting evidence for changes in procedures relating to tagging and tracking of assets.
- works directly with school administration and site facility coordinators to provide training and guidance on the asset tagging and inventory processes.
- maintains detailed electronic waste (e-waste) certificates of destruction documentation. Provides information to department administrators, school police and other authorities.
- communicates with and directs e‑waste vendor regarding volume and organization of e‑waste to be removed from the district. Manages scheduling and materials needed for efficient removal.
- uses independent judgement to inspect property and equipment to determine condition and value and recommends proper disposition and disposal of property. Makes determinations based on district guidelines regarding safety, operation, levels of functionality, estimated salvage value and storage availability at district warehouse facilities.
- stores reusable surplus property.
- maintains surplus property storage locations in an orderly manner.
- maintains records pertaining to the disposal of property.
- advises district personnel in disposal procedures.
- identifies available surplus for redistribution to sites and the coordination of e‑waste removal.
- collaborates with capital projects and sites to determine the replacement and relocation of equipment when a school receives new equipment as part of a revitalization, major upgrade or during the demolition of an existing school.
- in compliance with state laws and district regulations, organizes, invites, and accepts bids, and conducts sale of surplus or obsolete property and equipment.
- stores and maintains dormant files of property and equipment.
- advises public on acquisition procedures of surplus property.
- prepares detailed information and staff report for declaration of surplus report to the board of trustees.
- communicates and organizes sale of surplus equipment with vendor.
- reconciles auction representative sales statements.
- submits information to accounts payable for deposit.
- maintains and reconciles recycling records pertaining to the disposal of surplus metal.
- communicates with vendor and corrects any discrepancies.
