Executive Coordinator – 12-month term with possibility of an extension

The Status of Women Office is responsible for leading and coordinating the development and implementation of strategic initiatives to support women to live safe, healthy, and prosperous lives as part of the Ministry of Parks, Culture and Sport’s priorities that focus on the wellbeing of Saskatchewan’s people.
The Opportunity
The Ministry of Parks, Culture and Sport has an exciting opportunity for a highly organized administrative professional looking for an opportunity for career growth by joining us in the role of Executive Coordinator in the Status of Women Office.
Reporting to the Executive Director of the Status of Women Office, you will provide senior-level administrative leadership and office management support to the Status of Women Office and provide support to the Deputy Minister’s Office as needed by:
Providing executive and office administrative support for the Executive Director including organization of calendars through collaboration, prioritization and scheduling; participating in and coordinating management meetings including drafting and distributing agendas; recording minutes; and tracking and monitoring action items to ensure timelines are met;Coordinating and ordering general office equipment and supplies, including IT, stationery and furniture for the Office.Assembling all briefing and background materials for the Executive Director in preparation for meetings with government senior officials, community and private sector stakeholders and the Minister’s Office;Planning, scheduling and coordinating travel and logistics for meetings, training sessions and other events in and out of province;Liaison with the Minister’s Office, government officials and the public, handling inquiries and supporting requests and referrals, coordinating and processing information in accordance with the Government of Saskatchewan standards and expectations;Monitoring administrative processes and making improvements across the branch to ensure optimum efficiency, including oversight of the records management system in accordance with ARMs, ORS; maintaining manual and electronic filing;Coordination of activities to support the Status of Women Office operational programs and strategic initiatives, including providing financial administrative support; verifying, coding, processing and tracking invoices for approval and payment ensuring policy compliance; support monthly budgeting and forecasting and preparing budget reports for review and submission in accordance with GEM; andDrafting, recording, proofreading and/or editing a variety of correspondence, briefing materials, presentations, budget documents, Cabinet documents, reports, tables, communication materials, emails, graphs and presentations in accordance with Government of Saskatchewan (GOS) processes and visual identity standards.The ideal candidate will be an experienced administrative professional who is:
Independent and confident in order to organize, prioritize and proficiently complete multiple tasks while dealing with frequent interruptions and tight deadlines;Proficient in managing budget activities and monitoring office expenditures;Approachable and collaborative in order to build strong working relationships;An exceptional communicator both verbally and in writing;Innovative in order to identify and make process improvement recommendations;Thorough and accurate to ensure quality work; and,Adaptable in order to meet new challenges as they arise.Typically, the knowledge and experience required to achieve the above is obtained through:
