We move fast, faster than most people are comfortable with. We’re looking for an Executive Assistant & Operations Lead who doesn't just manage a calendar, but anticipates the CEO’s needs before they arise and keeps our Redwood City HQ running like a well-oiled machine.
Role DescriptionThis is a full-time, on-site role in Redwood City, CA. You will be the CEO’s primary partner in productivity. You’ll handle the high-level logistics that allow our team to stay focused on building world-changing technology.
Key Responsibilities- Executive Throughput: Manage complex scheduling and communications with a focus on speed and precision.
- Proactive Problem Solving: Constantly audit our internal processes. If a workflow is slow, fix it. If a tool is outdated, find a better one.
- Office Command & Operations: Own the physical space. This includes managing vendors, restocking high-quality supplies/snacks, and ensuring the office environment is maintained.
- Technical Support: Seamlessly use and adopt new AI tools, project management software and communication platforms (Slack) to streamline executive workflows.
- Mission Control: Coordinate high-stakes meetings, prepare data-driven reports, and handle confidential information with absolute discretion.
- Hyper-Organized & Fast: You view a chaotic inbox as a puzzle to be solved in record time. You operate with a high sense of urgency.
- Tech Savvy: You are an early adopter of new software and AI tools; you use technology to automate the mundane.
- Proactive Ownership: You don't wait to be told the kitchen is low on supplies or a meeting is double-booked. You’ve already handled it.
- Exceptional Communication: You can draft a professional investor email or a quick internal Slack update with equal clarity and tone.
- Startup Grit: You’re comfortable with ambiguity and willing to wear multiple hats, from high-level strategy support to restocking the fridge.
- Proven experience in Executive Assistant or Office Operations roles (C-level support in a startup environment is a huge plus).
- Mastery of modern productivity suites (Google Workspace, Notion, Slack).
- Ability to work on-site in Redwood City.
- Exceptional Communication skills, both written and verbal
- Proven Organization Skills with the ability to prioritize tasks effectively
- Ability to work independently and maintain confidentiality
- Bachelor's degree in Business Administration, Management, or a related field (preferred but not required)
