About the Role

We are a fast-growing tech startup with a dynamic team, and we’re looking for a highly organized and versatile Office Manager/Executive Assistant to help us create a productive, supportive, and efficient work environment. This hybrid role combines office management and human resources responsibilities, and you'll be integral in fostering a positive company culture and ensuring smooth day-to-day operations.

Office Management
  • Oversee the daily operations of the office, including managing office supplies, equipment, and vendor relationships.
  • Coordinate office maintenance, ensuring the workspace is clean, organized, and well-stocked.
  • Manage the office calendar for meetings, events, and team activities.
  • Handle office-related communication, including email, phone calls, and correspondence.
Executive Assistant
  • Own complex scheduling, coordinate travel logistics, and manage time-sensitive engagements for founders and executives.
  • Act as a trusted gatekeeper, handling correspondence, meeting notes, and stakeholder coordination.
  • Assist with onboarding, vendor coordination, light HR/admin tasks, and prep for board/investor meetings.
  • Handle sensitive information with professionalism and anticipate executive needs proactively.
HR Management
  • Serve as the primary point of contact for all HR-related inquiries, ensuring employees feel supported and informed.
  • Oversee the onboarding process for new hires, including preparing documentation, immigration paperwork, conducting orientations, and ensuring a smooth integration into the team.
  • Help foster a positive work environment by planning team-building activities, office events, and employee engagement programs.
Required Qualifications
  • 3+ years of experience as an Office Manager, HR Manager, or similar role, ideally in a fast-paced tech or startup environment.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive and confidential information with discretion.
  • Comfortable managing multiple priorities and adapting to a fast-changing work environment.
  • A proactive, self-starter who can work independently and as part of a team.
