A Brief Overview

The primary responsibility of the Patient Administrative Specialist (PAS) is to handle new patient coordination, surgery scheduling, and other front office functions in the outpatient clinical setting. A PAS supports administrative tasks related to the daily operations of the clinic. The career progression for a PAS consists of 4 levels, reflecting a clear set of skills, knowledge, and education and experience for each level.

Employees have the opportunity to advance by meeting requirements at the higher level.

What You Will Do
  • Primary Function:
    Patient Interaction and Registration
  • Greeting and Assistance:
    Greet patients, complete registration check-in & check-out, verify insurance information, and assist with questions about appointments, payments, billing, and schedules.
  • Patient Escalations:
    Identify and resolve simple escalations; provide service recovery where appropriate. Escalate complex issues per clinic pathways.
  • Referral Management & Appointment Scheduling:
    Track and manage referrals and schedule appointments in a timely manner, adhering to scheduling instructions, referral guidelines, and insurance eligibility.
  • Administrative Tasks and Documentation
  • Telephone and Messaging:
    Handle a significant volume of inbound and outbound patient calls, route messages, and manage patient correspondence.
  • Documentation management:
    Manage faxes, mail, file documentation, and maintain databases.
  • Systems Use:
    Process forms and utilize phone and electronic medical record systems.
  • Communication and Coordination
  • Professional Communication:
    Maintain communication with PAS staff, medical center/clinic staff, physicians, and patients.
  • Provider Coordination:
    Communicate scheduling preferences and urgent needs with providers.
Education Qualifications
  • High School Diploma/GED.
Experience Qualifications
  • Entry level - No previous experience required.
Required Knowledge,

Skills And Abilities
  • Knowledge: Knowledge of Windows-based office software, computers, and operating systems
  • Skills: Strong written and phone/verbal communication skills; phone skills with multi-line systems; strong time management and organizational skills; ability to solve problems and manage multiple priorities
  • Abilities: Actively listen to patients and colleagues; provide exceptional patient experience with empathy and professionalism; adjust communications to the receiver; maintain composure in stressful situations; assist with welcoming & orienting new PAS staff; demonstrate exemplary customer service as a liaison between front and back office

Compensation

Base Pay Scale:
Generally starting at $31.30 - $35.25 per hour. The finalist’s salary will be set based on factors including internal equity, experience, education, specialty, and training. This pay scale is not a promise of a specific wage.
