Overview

An innovative AI-powered performance marketing company with a reputation for cutting-edge technology and global impact is looking for a proactive Executive Assistant to join its Redwood City or San Francisco office, supporting the R&D leadership team. This role is ideal for someone who thrives in a fast-paced, collaborative environment and enjoys providing high-level support to senior executives across Product, Engineering, and Operations.

This is a temporary role for 6 – 7 months, starting in mid-October.

Responsibilities
  • Provide day-to-day administrative support to the COO, SVP of Engineering, SVP of Product, and their respective teams
  • Manage complex, high-volume calendars across multiple time zones, anticipating conflicts and providing solutions with clear context
  • Prepare meeting pre-reads, coordinate attendees, reserve conference rooms, and set up video conferencing systems
  • Plan end-to-end domestic and international travel, including flights, hotels, ground transportation, and visas, adhering to budget and policy
  • Organize team events and offsites, handling vendor coordination, catering, activities, communications, and run-of-show
  • Reconcile and approve expense reports promptly and track monthly team budgets
  • Arrange meals and miscellaneous requests as needed
  • Maintain confidentiality and exercise excellent judgment in all interactions
Qualifications
  • 5+ years of Executive Assistant experience supporting senior leaders in a global fast-paced tech organization; R&D/Product/Engineering experience a plus
  • Proven ability to manage complex, global time-zone calendars and travel
  • Strong organizational skills with the ability to multitask and work independently
  • Excellent written and verbal communication; skilled in note-taking and action tracking
  • Proactive, resourceful, calm under pressure, and highly confidential
  • Experience planning events, offsites, and managing travel logistics
  • Proficiency in Google Workspace (Calendar, Docs, Sheets, Slides), Slack, Zoom, and corporate travel/expense tools
  • Must be able to support teams across global time zones
Details
  • Compensation: $50.00/hr - $60.00/hr
