Job Summary
Job Title: Executive Administrative Assistant 1
Work Location: Fully Remote (Must work Pacific Time hours)
Duration: Months
Schedule: Monday–Friday, 40 hours/week
Pay Rate Range: $20 to $26/hr
- Candidates without project management or business administration support experience will not be considered.
- Prior experience supporting executives or leadership teams
- Familiarity with Microsoft culture and internal tools
- Strong collaboration and stakeholder management skills
- Advanced Calendar & Scheduling Mastery
- Complex executive calendar management
- Cross-time-zone scheduling
- Managing holds, pivots, cadence planning, and high‑stakes meetings
- Microsoft 365 Expertise
- Outlook (advanced calendaring, rules, delegation)
- Teams (meetings, channels, file sharing)
- One Note (executive dashboards, tracking systems)
- SharePoint (document libraries, permissions, team sites)
- Travel, Expenses & Procurement Systems
- Travel booking tools
- Expense submission and approval workflows
- Compliance with policies and documentation standards
- Event & Logistics Management
- End‑to‑end planning for leadership meetings, off‑sites, summits, and org‑wide events
- Vendor coordination, room booking, catering, and materials preparation
- Perform general office duties (ordering supplies, record management, basic bookkeeping)
- Prepare invoices, reports, memos, letters, and financial documents
- File and retrieve corporate records and reports
- Open, sort, and distribute correspondence (emails, mail, faxes)
- Draft and route responses to inquiries
- Maintain confidentiality and organization of sensitive information
- Strong verbal and written communication
- Excellent multitasking and time management
- High level of professionalism and discretion
- Ability to work independently and collaboratively
- Associate or Bachelor’s Degree preferred
- 2–5 years of relevant administrative or executive support experience
