Sr. Export Representative

Ted Pella, Inc. is seeking a Senior Export Representative to join our dynamic International team toserve our International customers. This person will respond to all customer requests accurately and promptly, preparing and providing Proforma Invoices, Order Acknowledgements, Invoices and complete shipping documentation to international customers regarding company’s prices, availability, delivery date,and freight costs associated with shipment of company’s product. Provides support for technical questions and customer issue resolution.

This position reports to the International Inside Sales Manager.

• Provide accurate and timely quotations to International Customers regarding product, prices, availability and freight costs. Contact Freight Forwarder, air or sea for best shipping routes if applicable.
• Determine freight courier and accurately calculate freight costs for all shipments to appropriate destinations.
• Prepare, accurately complete, distribute for review and signature, and submit signed Proforma Invoices to the customer within 1 day after receipt of the request.
• Compose and email follow-up letters who have received Proforma Invoices to customers within 30 business days of quotation expiration.
• Accurately and efficiently process phone, email, and website orders.
• Confirm and provide delivery date, best shipping mode, and freight costs when applicable.
• Notify customer of special information or contact for clarification of order or additional information needed to complete order. Personal follow-up to expedite ordered items with purchasing.
• Determine proper shipping of hazardous materials and work with the Warehouse to confirm proper handling.
• Verify proper tariff classifications and value calculations are correct. Calculate the total value of the shipment, and submit all government required documents such as AES/ITN number, IATA Documents, Country USCI number, SDS copies, including any other pertinent information for international export travel.
• Strictly adhere to the rules and regulations of the Bureau of Industry and Security (BIS) and confirm that no products exporting are classified with an ECCN.
• Prepare and forward packing lists and all required export documentation to the Warehouse for packing.
• Invoice the customer by the day of the shipment.
• Prepare and complete all “Rush” orders within a one day turnaround time period.
• Receive final shipping documents and prepare the final invoice for shipping. Include copies of the invoice outside of the package shipped. Personally verify the documents are received, packaging is completed and items are shipped within 1 to 2 days of order confirmation.
• Email the invoice containing the tracking information the same day the package is shipped.

• Requires a minimum of 7 years related customer service experience. Export experience, experience with international customers, and hazardous materials shipping knowledge is preferred.
• College degree or course work in business, sales, communications, or related field is preferred.
• Good knowledge of geography is preferred. Ability to appreciate cultural differences and relate well with international customers.
• Requires excellent communication and organization skills. Ability to work well with people. Ability to interface successfully with customers, vendors, co-workers and management. Must be able to collaborate and interact successfully with customers, managers, and co-workers.
• A high level of attention to detail and accuracy is required. Excellent problem-solving skills and good judgment.
• Good math, reading, writing and spelling skills with the ability to communicate clearly and effectively in the English language, in writing and verbally. Knowledge of foreign language(s) is a plus.
• Ability to work in a fast-paced environment, learn new things quickly, handle multiple tasks, and prioritize responsibly. Must be able to type accurately at a reasonable speed.
• Experience with manufacturing business software programs is preferred.
• Previous lead or supervision experience is desirable.
• This is an on-site position in Redding, CA with no remote work available.
