The Shasta-Tehama-Trinity Joint Community College District (Shasta College) sits at the northern end of the Sacramento Valley, surrounded by mountains to the north, east, and west. - Maintains, processes, and audits District fiscal/accounting records, journals entries, subsidiary ledgers, and transactions related to assigned area(s) of specialization including but not limited to accounts payable, accounts receivable, special program accounting, reconciliations, and cash receipting.
- Reconciles internal accounts against external applications, investigating any discrepancies and ensuring district policies and procedures are adhered to.
- Audits, monitors, reconciles, and adjusts assigned accounts based on information gathered from internal and external applications.
- Audits and reviews documents from departments to substantiate creation of purchase requisitions, purchase orders, and blanket purchase orders looking for proper general ledger accounts, purchasing thresholds, available budget and approvals are sufficient to purchase an item or service.
- Prepares and processes a variety of payables to vendors and employees verifying accuracy, approvals, and proper documentation; assigning/verifying general ledger codes; and processes payment.
- Maintains communication with department staff to monitor and track invoices and payments to vendors.
- Maintains district inventory records and fixed asset ledgers while following district policy regarding the maintenance of inventory records, capitalization, and depreciation of fixed assets.
- Prepares and processes district invoices and maintains records of payments and accounts receivable.
- Prepares and processes cash receipts verifying receipts against invoices and deposits; following up on delinquent accounts.
- Receives, counts, verifies, and deposits cash, and processes cash requests and prepares change bags for departments.
- Audits cash on hand and in safes for district and various departments.
- Reconciles cash receipts with sales reports and investigates any discrepancies. Prepares entry to record transaction in accounting system.
- Maintains dormitory and Early Childhood Education accounting records and student accounts; audits, tracks, records, and adjusts deposits, charges, and fees in accounting system and internal tracking documents based on contracts and other paperwork.
