Job Title: Permits Coordinator
Contract: 12 months
Location: Ras Al Khaimah
Role PurposeThe Permits Coordinator is responsible for supporting the implementation and monitoring of permits-related policies and procedures to ensure efficient departmental operations. The role focuses on coordination, documentation control, data tracking, reporting, and administrative support, ensuring accurate, timely, and well-organised handling of permits-related activities while delivering a high standard of service to internal and external stakeholders.
Key Responsibilities Relationship Management- Work closely with internal departments to ensure compliance with applicable policies, procedures, and regulations.
- Support cross-functional coordination to enable smooth and efficient permit-related processes.
- Assist in identifying opportunities to improve operational efficiency and implement best practices within departmental processes.
- Support process enhancements while maintaining service quality and compliance standards.
- Prepare regular and ad hoc reports for management, providing accurate data to support informed business decisions.
- Maintain dashboards and trackers to monitor departmental performance and service delivery metrics.
- Maintain document control systems and data processing activities supporting permits and enforcement functions.
- Manage ticketing systems and shared inboxes to ensure efficient document flow and accessibility.
- Track task progress against defined timelines and process workflows.
- Maintain accurate and up-to-date records of approved permits and related documentation.
- Manage and update centralized data trackers using shared platforms (e.g., SharePoint, One Drive).
- Track and reconcile permits-related revenue and maintain system records.
- Identify and report data inconsistencies to relevant personnel for resolution.
- Prepare agendas, minutes, and supporting materials for client- or project-related meetings.
- Support issue resolution by coordinating with relevant officers and escalating unresolved matters to management where required.
- Maintain confidentiality and professionalism when handling sensitive information and documentation.
- Bachelor’s degree in Science, Engineering, or a related discipline.
- Minimum of 3 years’ experience in a project management, engineering, or administrative coordination role.
- Strong organisational and administrative skills with high attention to detail.
- Excellent written and verbal communication skills.
- Strong data entry and data management capabilities.
- Proficient in Microsoft Office applications (Excel, Word, Outlook, PowerPoint) and relevant job-specific systems.
- Ability to manage multiple tasks, prioritise effectively, and meet deadlines in a fast-paced environment.
- Process‑oriented, dependable, and self‑motivated.
- Strong analytical and problem‑solving skills.
- Ability to work independently and collaboratively within a team.
- High standards of professionalism, ethics, and confidentiality.
- Cultural awareness and sensitivity when working with diverse stakeholders.
