Wyrick Robbins, recognized again in 2024 as a Triangle Best Place to Work, is seeking a bright and technically savvy Legal Billing Assistant to join our team. The ideal candidate will be able to organize tasks promptly and efficiently, be intellectually curious, and enjoy the challenge of puzzle-like problem solving. This person will be very detail-oriented and willing to learn new tasks and software applications.
The person in this role must be capable of completing all necessary tasks in the Billing department of a large law firm. This role is 100% onsite.
Responsibilities
- Prepare and process a high volume of pre-bills and final bills in a timely manner and in accordance with internal and external guidelines; this includes submission of electronically billed invoices to appropriate third party vendors such as Legal Tracker, Counsel Link and Passport.
- Process billing adjustments and prepare special bills and estimates as necessary.
- Manage the departmental in-box which includes such tasks as conducting and resolving conflict checks; opening new clients and matters; editing existing clients, matters and timekeeper profiles; responding to various inquiries.
- Generate and distribute monthly past due statements to clients.
- Assist with production and distribution of monthly billing and ad-hoc reports as necessary.
- On-board electronically billed clients and file appeals as needed.
- Analyze and implement complex billing rates and instructions.
- Train new attorneys, paralegals and legal assistants on new client matter intake and time entry.
- Respond to audit letter requests.
- Assist with special projects and other duties as needed.
Requirements:
- Must be reliable and professional.
- Associate’s or Bachelor’s degree preferred (Accounting major is a plus).
- 2 years of experience in an Accounting or Billing department preferred, preferably in a law firm, medical or a professional services organization. We will also consider exceptional entry-level or early career candidates who have fewer years of experience.
- Mastery of Microsoft Office Suite is assumed; proficiency in PDF manipulation is helpful.
- Experience with billing software;
Elite 3E or Enterprise highly desired. - Experience with high volume billing preferred.
- Must be able to use diplomacy and discretion when distributing information.
- Must be able to work collaboratively within a team environment.
- Possess moderate motor coordination to function effectively in an indoor professional office environment requiring frequent and prolonged sitting, standing, repetitive finger motion, computer usage and routine walking, bending, reaching and lifting up to 40 pounds.
- Available to work 37.5 hours per week Monday-Friday, with overtime when necessary. Typical schedule of 8:30am - 5:00pm. Alternate schedule of 9:00am - 5:30pm or a 9:30am - 6:00pm is available.
