Role Overview
The Vendor Manager / COI Subject Matter Expert supports Corporate Real Estate and Branch Facilities & Maintenance by ensuring all service providers meet the bank’s insurance and compliance requirements prior to onboarding and throughout the vendor lifecycle. This role serves as the primary reviewer and approver of Certificates of Insurance (COIs), translating complex commercial P&C insurance requirements into clear documentation and standardized guidelines for internal partners and external vendors.
Key Responsibilities- Manage vendor onboarding workflows in the CMMS system (Service Channel).
- Monitor ongoing compliance, including policy renewals, coverage changes, and expiration tracking.
- Verify vendor trade and business licenses across multiple states.
- Collaborate closely with Facility Managers to identify gaps in vendor coverage and source compliant service providers.
- Support branch facility claims and insurance recovery efforts by acting as a liaison between Facility Management, claims adjusters, and the bank’s internal insurance contacts.
- Produce regular reporting for management on vendor compliance status, operational risks, and claims trends, leveraging Excel and system reporting tools.
- Train new team members on COI standards, special‑category vendor requirements, and onboarding procedures.
- Commercial P&C Insurance experience – knowledge of general liability, workers’ compensation, auto liability, umbrella/excess, and common endorsements.
- COI Standards & Process Improvement – experience creating/updating COI requirements, SOPs, templates, and sample COIs.
- License Verification & Regulatory Awareness – familiarity with multi‑state trade license validation and maintaining compliance documentation for regulated environments.
- Systems & Stakeholder Management – comfort working cross‑functionally with Facilities, Accounts Payable, Risk/Insurance, and vendors/agents; experience in Service Channel or similar CMMS strongly preferred.
- Strong Organization & Communication – ability to manage high volumes of renewals, resolve compliance exceptions, and clearly explain requirements to non‑insurance stakeholders.
- Advanced Excel – Pivot tables, XLOOKUP/VLOOKUP, conditional formatting, data validation, and basic dashboarding;
Power BI a plus.

Pay and BenefitsPay range: $20.68 - $31.03/hr.
