In this role, you’ll be a trusted partner for clients and colleagues—providing administrative support, managing account transactions, liaising with internal teams and third-party vendors, and ensuring every detail is handled with precision and care.

You’ll thrive in a collaborative, detail-oriented environment where service, risk mitigation, compliance, and a people-first approach are valued above all.

Why You’ll Love This Role

  • Work at a steady, even pace with a clear process focus—ideal for someone who values precision, structure, and repeatable high-quality outcomes.
  • Build positive relationships and serve others through your work, maintaining a professional, supportive presence for internal partners, clients, and third-party vendors.
  • Apply your attention to detail to ensure accuracy, compliance, and risk management across wealth administration activities.
  • Enjoy a thoughtful, structured approach to problem-solving while adapting to evolving priorities—checking and double-checking work to preserve quality.
  • Share expertise and lead by example, reinforcing best practices and helping others succeed in a collaborative environment.

What Makes You a Great Fit

  • Disciplined, and conventional; cooperative and supportive with a cautious approach to risk.
  • Harmony-seeking and team-oriented, placing team outcomes above self.
  • Professional and fact-based communicator who respects established procedures and proven processes.
  • Passionate about service, with a strong focus on accuracy, consistency, and integrity.

What You’ll Do (Key Responsibilities)

  • Provide administrative support to the Chief Investment Officer, Managing Director, and Trust Officer—FCW, including documentation and reports.
  • Initiate account distributions and transactions per dual control requirements.
  • Track daily activities in partnership with Capital Advisory Services (CIAS).
  • Act as liaison between officers, clients, and third-party vendors (CIC, CIAS, BNY Mellon, HWA International).
  • Process client requests for account maintenance and advanced assistance.
  • Assist with reconciliation of Wealth-associated internal accounts/General Ledgers and complete monthly wires/ACH for management fees.
  • Support internal bank reporting and daily reconciliation of custody reports.
  • Draft and maintain departmental procedures; assist with training on Wealth services.
  • Support compliance and audits, both internal and external.
  • Maintain confidentiality and adhere to policies and procedures in a constantly changing environment.

Qualifications

  • Bachelor’s Degree in Trust and Wealth Management, Finance, Business Administration, or similar; OR six years’ administrative experience in trust/investment or banking (wealth, trust, or finance).
  • Interest in financial and fiduciary solutions.
  • Attention to detail and organization; ability to multitask and prioritize workflow.
  • Problem solving skills; self-motivated and service oriented.
  • Preferred: At least 2 years’ trust/wealth administration experience; prior Trust Accounting Software experience; database management experience; understanding of Bank/Trust regulations.
  • Comprehensive health, dental, and vision insurance
  • Retirement savings plans with company match
  • Paid time off and holidays
  • Professional development and training opportunities
  • Employee assistance programs
  • Opportunities to participate in community service and outreach
  • Understands and adheres to Workplace Policies, Code of Conduct, privacy, and information security guidelines.
  • Follows all applicable security procedures and regulatory requirements (Anti-Money Laundering, Bank Secrecy Act, USA PATRIOT Act).
  • Acts within authorized limits and role-specific policies and procedures; follows processes and controls to protect shareholder interests.
