The Visiting Student Specialist is responsible for evaluating external high school and college transcripts to determine appropriate course placement and registration eligibility for Visiting Students at Wake Tech. Specialists will review academic records, assess prerequisite fulfillment, and enter approved placements and overrides into college systems to facilitate accurate and timely registration. To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily.

- Evaluates external high school and college transcripts to determine appropriate math and English placement based on prior coursework, GPA, and institutional guidelines
- Identifies Wake Tech course equivalents for external coursework and assesses whether students meet prerequisite requirements for requested classes
- Reviews and interprets student information across multiple systems, including Element
451, Colleague, TES (Transfer Evaluation System), and Hyland On Base - Accurately enters placement decisions and registration overrides into Colleague to ensure students are able to register for approved courses
- Determines whether to approve registration overrides for Visiting Students seeking to enroll in courses with prerequisite requirements
Applies institutional policies consistently to ensure appropriate academic placement and maintain enrollment integrity.
Communicates with Visiting Students via phone and email to provide guidance, troubleshoot registration issues, and answer questions related to placement, prerequisites, and eligibility.
Clearly explains decisions regarding registration waiver requests and offers next steps or alternative options when necessary.

- Ability to perform normal duties with minimal supervision
- Ability to exhibit critical thinking skills and high attention to detail
- Intermediate skills with MS Office, Excel, and One Drive
- High school diploma or equivalent
- One year of experience working with student records, databases, or closely related experience
- Associate's degree
- Experience using Colleague/Datatel or similar student information system
- Experience working in an educational environment or working directly with students at the college level
