We’re recruiting a Senior Operations Analyst for a well-established, growing company based in the Raleigh, NC area. This is a detail‑oriented role that blends operational duties with executive support responsibilities. You will play a key role to ensure accurate processes, timely reporting, and smooth coordination in a fast‑paced, relationship‑driven environment.
This role supports both client‑facing and internal teams, managing account workflows, preparing deliverables, and keeping critical operational and administrative functions on track.
Responsibilities- Prepare recurring and ad hoc reporting packages using data from multiple sources; ensure consistency, accuracy, and professional formatting
- Track key deadlines and manage recurring processes such as reporting cycles, document renewals, and distribution schedules
- Manage onboarding workflows including account setup, documentation, and record maintenance
- Coordinate internal and external deliverables — from billing cycles to audit and compliance reporting
- Maintain and improve internal documentation and process tracking tools
- Support scheduling, meeting preparation, and communication logistics for senior leadership
- Assist with document management, regulatory submissions, and version control
- Handle confidential materials with discretion and professionalism
- Identify and recommend process improvements to streamline recurring tasks
- Bachelor’s degree in Business, Accounting, Finance, or related field
- 4+ years of experience in operations, administrative support, or client account coordination
- Strong attention to detail and commitment to producing high‑quality, accurate work
- Excellent organizational skills with the ability to juggle competing priorities and deadlines
- Proficiency in Excel; comfortable navigating new systems and tools
- Experience supporting leadership or working in a regulated/professional environment is a plus
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
