Overview

This position is located at Raleigh Radiology, LLC facilities, free‑standing outpatient imaging centers located in and around Raleigh, N.C. We are seeking a highly organized and proactive Executive Assistant to support the Interim CEO / Vice President of Operations and Board of Directors of our large medical practice. The ideal candidate will be a detail‑oriented professional with exceptional communication skills and the ability to manage multiple tasks efficiently.

This role requires a high level of discretion and the ability to handle sensitive information with integrity. The candidate will act as “Chief of Staff” and will have the pulse of the organization at their fingertips. The ability to have information at the ready, in an organized fashion will be imperative to the success of this role. This position reports to the Interim CEO / Vice President of Operations.

Duties & Responsibilities
  • Administrative Support:
    Provide comprehensive administrative support to the COO and Board of Directors, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Meeting Coordination:
    Prepare agendas, take minutes, and follow up on action items for board meetings and executive team meetings.
  • Communication:
    Serve as the primary point of contact between the COO, Board of Directors, and internal/external stakeholders. Draft and edit correspondence, reports, and presentations.
  • Project Management:
    Assist in the planning and execution of special projects and initiatives as directed by the COO and Board of Directors.
  • Document Management:
    Maintain and organize important documents, records, and files, ensuring confidentiality and easy access.
  • Event Planning:
    Coordinate and manage events, conferences, and other professional gatherings.
  • Research:
    Conduct research and compile data to support decision‑making processes.
  • Office Management:
    Oversee office operations, including supply management and liaising with vendors.
Requirements
  • Education:

    Bachelor’s degree in Business Administration, Healthcare Administration, or a related field preferred.
  • Experience:

    3+ years of experience in an executive administrative role, preferably in a healthcare setting.
Desired Skills
  • Excellent organizational and time‑management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.
  • Strong problem‑solving skills and attention to detail.
Working Conditions /

Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Subject to working evenings, weekends, and holidays – as required to complete the job.
