Overview
Spyglass Talent Solutions, a retained recruitment firm based in Raleigh, NC, has been engaged by a North Carolina-based commercial real estate firm to conduct a search for a Transaction Coordinator.
Based in Raleigh, NC, the Transaction Coordinator will support key brokers by managing the administrative, operational, and transactional aspects of real estate deals from listing through close.
Serving as a partner to the brokerage team, the Transaction Coordinator will ensure contracts, documentation, and deal timelines are executed accurately and efficiently while supporting sales operations, compliance, and client service in alignment with the firm’s strategic objectives.
Key Responsibilities- Serve as the operational partner to brokers, owning transaction execution and sales operations in a way that maximizes broker productivity and removes friction
- Track all critical dates, contingencies, and deliverables, proactively identifying risks and resolving issues before they impact closings, while operating effectively in a fast-moving brokerage environment
- Manage a high volume of concurrent activity, supporting frequent BOVs, active listings, and multiple monthly closings
- Independently manage transaction files, contracts, and documentation, ensuring accuracy, compliance, and forward momentum
- Prepare, review, and coordinate LOIs, purchase and sale agreements, leases, amendments, and closing documentation with brokers and external counsel
- Act as the central point of coordination among brokers, clients, attorneys, lenders, title companies, and inspectors
- Maintain CRM, deal pipelines, and checklists with the understanding that priorities are dynamic and the work is continuous
- Support listing setup, marketing execution, and due diligence without losing sight of speed, quality, and business objectives
- Handle sensitive legal, financial, and client information with discretion and professionalism
- 3+ years of experience supporting commercial real estate transactions, brokerage operations, or legal/contract-heavy environments
- Paralegal experience or demonstrated hands-on experience managing contracts, legal documents, and transaction workflows
- Strong working knowledge of commercial real estate transactions, including leases, purchase agreements, and due diligence processes
- Highly self-directed with the ability to manage multiple deals simultaneously in a fast-paced, low-structure environment
- Exceptionally organized with strong attention to detail and follow-through
- Clear, professional communicator with strong written and verbal skills
- Bachelor’s degree or equivalent experience preferred
